Clerical Assistant

Job Summary
We are seeking a proactive and detail-oriented Clerical Assistant to join our dynamic team. Responsibilities

  • Manage front desk duties, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette.
  • Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools.
  • Organize files, documents, and correspondence through effective filing systems and proofreading to ensure clarity and accuracy.
  • Support appointment scheduling, calendar management, and coordinate meetings for staff or clients.
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices.
  • Provide excellent customer service by addressing inquiries promptly and supporting client needs with professionalism.
  • Handle general office tasks such as photocopying, faxing, mailing, and maintaining supplies to keep the office running smoothly.

Experience

  • Previous clerical or administrative experience in an office setting is preferred.
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry skills.
  • Experience managing multi-line phone systems and front desk responsibilities.
  • Bilingual abilities are a plus for supporting diverse client needs.
  • Familiarity with office management practices such as filing systems, calendar coordination, and document proofreading.
  • Knowledge of medical or dental receptionist duties or personal assistant experience is advantageous but not required.
