Overview
We are seeking a proactive and detail-oriented Clerical Assistant to join our dynamic team! Responsibilities
- Manage front desk duties, greeting visitors and clients with professionalism and warmth
- Answer multi-line phone systems promptly and direct calls accurately using proper phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and other office management tools
- Handle filing, document proofreading, and ensure all paperwork is organized and accessible
- Support bookkeeping activities using QuickBooks or similar accounting software when needed
- Assist with calendar management and scheduling appointments for team members or executives
- Provide excellent customer support by addressing inquiries efficiently and courteously
- Support office management tasks such as supply ordering, mail distribution, and general administrative duties
Requirements
- Proven office experience with strong clerical skills and familiarity with office management procedures
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer literacy
- Experience with multi-line phone systems and phone etiquette standards
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Excellent organizational skills with the ability to prioritize tasks efficiently
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Previous experience as a receptionist, personal assistant, or construction / real estate development / property managment receptionist is a plus
- Knowledge of bookkeeping software such as QuickBooks is preferred but not required
- Ability to manage time effectively in a busy environment while maintaining professionalism
