Responsibilities

  • Manage front desk activities, greeting visitors and directing them appropriately with professionalism and warmth
  • Answer multi-line phone systems promptly, providing excellent customer service and accurate information
  • Perform data entry tasks using computer skills, including Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping
  • Organize files, maintain filing systems, and ensure documents are accurately proofread and stored securely
  • Support office management by scheduling appointments, managing calendars, and coordinating meetings efficiently
  • Assist with clerical duties such as photocopying, faxing, mailing, and inventory management of office supplies
  • Provide customer support by addressing inquiries via phone or email with courteous phone etiquette and timely responses

Qualifications

  • Proven office experience with strong clerical skills in a professional setting
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills with high accuracy; familiarity with data entry processes
  • Bilingual abilities are a plus to serve diverse client needs
  • Previous experience as a dental or medical receptionist or personal assistant is advantageous
  • Exceptional communication skills with professional phone etiquette and customer service orientation
  • Ability to handle multiple responsibilities simultaneously while maintaining attention to detail
  • Knowledge of office management procedures and administrative best practices
