Position Summary


Performs a wide variety of clerical support services to facilitate the efficient operation of Little Turtle, while maintaining confidentiality.


Duties and Responsibilities

  • Provides parents information regarding the Little Turtle program and registration process.
  • Assist Little Turtle teachers with class roster information.
  • Maintain and compile information for MCIR database to ensure compliancy with the health department.
  • Collects, receipts, and post cash payments made to the preschool program.
  • Reconcile monthly billing for preschool and follow- up on past due preschool accounts.
  • Process purchase orders and order supplies.
  • Maintain Little Turtle website and Eleyo.
  • Maintain School Messenger and update information as needed.
  • Update Parent handbooks to ensure accuracy when needed.
  • Maintain Key Access database system for Little Turtle.
  • Assist with ill children in the office when needed.
  • Operate office machines, such as photocopiers, scanners, computers, printers, calculators, facsimile machines, voicemail systems, and telephones.
  • Communicate with customers, employees, students, and other individuals to answer questions, disseminate or explain information and address complaints.
  • Assist and provide instructors and students with community ed class information when needed.
  • Assist with community ed registrations when needed.

Education:

This position requires high school diploma or equivalent.


Experience:

  • No previous clerical experience required.
  • One year of related experience providing clerical support in an office setting preferred.


Knowledge:

  • Knowledge of basic math, required.
  • Knowledge of principles and processes for providing customer services, required.
  • Knowledge of administrative and clerical procedures and systems such as word processing, spreadsheets, managing files and records, designing forms, and other office procedures, required.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar, required.


Abilities:

  • Ability to read and interpret district policies, guidelines, handbook and government regulations, required.
  • Ability to write routine reports and correspondence, required.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram or schedule form, required.
  • Ability and willingness to learn different software systems, required.
  • Ability to multi-task, meet deadlines, and work in a fast-paced work environment, required.
  • Ability and willingness to work cooperatively with teachers, community, students and staff, required.
  • Ability to read, write, and communicate effectively in English to perform essential job duties, including but not limited to understanding and following safety instructions, responding appropriately to emergency situations, completing documentation, and interacting with English-speaking staff, students, community and supervisors, required.

The employee must occasionally lift and/or move up to 30 pounds of files and materials, etc. Specific vision abilities required by this job include close vision, and ability to adjust focus, especially due to concentration on a computer screen and small numbers.

The noise level in the work environment moderate to loud.
