Summary

Assists the Criminal District Attorney’s Office with receiving and maintaining criminal cases filed by Law Enforcement Agencies. Individual has daily contact with the public, governmental officials and law enforcement agencies.

Essential Duties and Responsibilities

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Duties include the following:

  • Criminal Files:
    • Intake criminal cases received from various law enforcement agencies;
    • Receive cases from the LE agency, ensure that all evidence has been received from submitting LE agency and entered into the Comal County District Attorney’s case management system;
    • Request evidence not initially provided by LE agency, run criminal histories, obtain all prior judgments, certified driving records, and pen packets;
    • Request additional investigation or follow up investigation, as necessary, that could assist in the review and prosecution for each file;
    • Assist with assigning filed cases to the appropriate prosecutor, keeping a master log of all cases assigned, and keeping track of all jail cases to ensure case is received and reviewed by a prosecutor prior to the 90-day deadline; and
    • Assist with tracking all arrest cases and cases filed with our office in master spreadsheet.
  • Statistics:
    • Assist with maintaining criminal case statistics from intake through disposition;
    • Prepare monthly reports for statistics developed bracketed by categories to assist the Criminal District Attorney's Office in understanding the trends and caseloads for the county; and
  • Miscellaneous:
    • Maintain confidentiality of privileged and sensitive data or information.
    • Attendance is an essential function of the job.

Mandatory Qualifications

EDUCATION and/or EXPERIENCE

High School Diploma or GED equivalent is required. The individual should possess a thorough working knowledge of clerical procedures and practices. Two (2) to three (3) years of experience; or equivalent combination of education and experience. Computer skills are required - Microsoft Word, Microsoft Outlook. Training required - Microsoft PowerPoint.

OTHER SKILLS AND ABILITIES
Ability to follow instructions and pre-established guidelines to perform the functions of the job. Excellent communication and organizational skills. Strong interpersonal skills and proven record as a team player. Ability to perform multitask projects effectively, meet deadlines, prioritize an ever-changing workflow and perform under pressure. Ability to work with minimal supervision and interface with all levels of employees, including executive management. Exercise considerable judgment and discretion in completing assignments and supporting attorneys. Possess a desire to learn the criminal justice system. Maintain a systematic approach to organizing files. Manage centralized filing system.

Desired Minimum Qualifications

LANGUAGE SKILLS
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in on-on-one and small group situations to customers, clients, and other employees of the organization.

MATHEMATICAL SKILLS
Must be able to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Must be to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY
Must be able to apply common sense to carry out instructions provided in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
