Client Accounting Specialist

Position Summary

We are seeking a highly organized and detail-oriented Part-Time Client Accounting Specialist to support our growing accounting and bookkeeping practice. This role is responsible for helping clients stay organized, ensuring accounting documentation is received in a timely manner, coordinating bookkeeping workflows, and maintaining clear communication between our firm and the businesses we serve.

The ideal candidate has a strong understanding of accounting and bookkeeping principles and enjoys working directly with clients. They are proactive, organized, and comfortable managing multiple priorities while helping ensure client work progresses efficiently and deadlines are met.

This position offers flexible part-time hours and is ideal for an accounting professional who enjoys building client relationships, solving problems, and contributing to a high-quality client experience. The Client Accounting Specialist plays an important role in helping our firm deliver accurate, responsive, and reliable accounting services while supporting the continued growth of our practice.

This position will begin on a part-time basis, with the potential for additional hours and future full-time opportunities as the firm continues to grow.

Key Responsibilities

  • Client Communication & Relationship Management
  • Serve as a primary point of contact for assigned clients.
  • Follow up with clients regarding missing documentation, receipts, invoices, bank statements, payroll records, and other accounting information.
  • Monitor client requests and ensure timely responses.
  • Schedule and coordinate client meetings.
  • Maintain professional and positive client relationships.

Accounting Workflow Coordination

  • Track monthly bookkeeping deliverables and deadlines.
  • Manage client onboarding and recurring accounting workflows.
  • Monitor outstanding items required to complete bookkeeping and accounting services.
  • Coordinate the collection and organization of financial documents.
  • Assist in preparing client files for month-end and year-end processing.

Administrative & Practice Management Support

  • Maintain task lists and workflow systems.
  • Monitor project status and communicate priorities to leadership.
  • Assist with proposal follow-up, client onboarding, and engagement administration.
  • Help improve and document firm processes and procedures.
  • Maintain organized electronic client files and records.

Accounting & Bookkeeping Support

  • Review client-submitted documentation for completeness and accuracy.
  • Assist with transaction coding and categorization when appropriate.
  • Identify missing or unusual transactions requiring client clarification.
  • Support account reconciliations and bookkeeping review processes.
  • Escalate accounting issues requiring professional judgment to senior staff.

Qualifications Required

  • 2+ years of bookkeeping, accounting, or accounting administration experience.
  • Strong understanding of accounting fundamentals, including:
  • Accounts Payable
  • Accounts Receivable
  • Bank Reconciliations
  • Financial Statements
  • General Ledger concepts
  • Experience working with accounting software such as QuickBooks Online.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Ability to manage multiple client relationships simultaneously.
  • High attention to detail and follow-through.

Preferred

  • Experience working in a bookkeeping, accounting, CPA, or tax firm.
  • Familiarity with client portal software and workflow management systems.
  • Experience with Microsoft 365 applications.
  • Associate's or Bachelor's degree in Accounting, Business, or related field.

Pay: $20.00 - $25.00 per hour
