Client Billing Specialist

We are seeking a Client Billing Specialist to join the Chicago office. The Client Billing Specialist manages billing tasks, including auditing, reviewing, editing, preparing, and submitting invoices promptly per firm and client guidelines. Responsibilities cover assigned offices and may extend to supporting the manager with special projects, ad-hoc requests, and year-end processes as required.

KEY RELATIONSHIPS
Internally responsible for communicating with timekeepers, other local billing groups, Firmwide Accounting/Finance, Directors of Administration, practice assistants, paralegals, lawyers and administrative support staff. Externally they are responsible for working with e-billing vendors, AP vendors, client contacts and responding to client driven inquiries.

ESSENTIAL DUTIES
  • Overseeing the setup and upkeep of billing processes, ensuring accuracy and compliance in client invoicing while coordinating group billing efforts. Reconciling invoices with financial records and verifying associated documentation, while proposing enhancements to improve overall billing efficiency.
  • Overseeing and managing the entire e-billing process to ensure accurate and timely billing, addressing any issues that arise efficiently.
  • Overseeing the timekeeper approval process, handle inquiries about billing and financial matters, and prepare documentation for vendor invoices.
  • Processing financial transactions, conduct audits, manage payments and payroll, oversee billing and trust accounting, and prepare various financial reports.
  • Continuing to assess opportunities for enhancing efficiency and effectiveness while addressing problems.
  • Generating and maintaining customized reports and databases for clients and lawyers.

EXPERIENCE SKILLS REQUIRED
  • Have an Associate's degree or equivalent experience in legal billing or a similar field
  • Be committed to providing excellent customer service to clients and attorneys while producing a high-quality work product
  • Have patience to work with invoices which may be revised or rejected repeatedly
  • Be committed to maintaining confidentiality of all Firm and client related information
  • Be self-motivated with a good work ethic and able to work well both as part of a team and independently
  • Be proficient in Excel including features such as pivot tables and filters
  • Have excellent analytical abilities
  • Have the ability to handle a large volume of work while ensuring a high level of accuracy
  • Have effective communication skills and the ability to interact with diverse personalities while maintaining a professional attitude
  • Have the ability to ensure extreme attention to detail, critical thinking, and effective decision-making on all assignments
  • Possess abilities in organization, time management, and problem-solving in order to to prioritize workloads and meet deadlines under pressure
  • Possess at least two years of billing experience, with expertise in legal or other professional services highly valued.

Compensation Salary $63,000 - $97,000

The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
