Job Summary
We are seeking a dedicated and organized Customer Care Coordinator to join our team. In this role, you will serve as the primary point of contact for clients, ensuring exceptional service and support within a medical or dental office environment. Your ability to communicate effectively and manage administrative tasks will be essential in providing a seamless experience for our patients.
Responsibilities
- Title: Client Care Coordinator / Support
Department: Administrative
Work Schedule: Monday through Friday, 8:00 a.m. to 5:00 p.m., Occasional weekends and holidays.
Duties & Responsibilities
- Assist clients with scheduling an admission or first appointment date at the program or facility where they are referred.
- Collect and review referral information upon receipt from the referral source and consult with others as needed to support coordination of services and scheduling of client interviews.
- Work collaboratively with client’s funding sources to obtain initial authorizations for reimbursement for intervention and recovery support services.
- If client does not keep assessment appointment, follow up by phone, mail or email and offer to reschedule the appointment.
- Ensure the maintenance of documentation and statistics as required by the agency and funding sources.
- Complete paperwork requirements and maintain quality, up-to-date clinical records, including Outcomes Survey information and information for invoicing; enter necessary information into EHPS. electronic medical records (EMR) system.
- Participate in all assigned meetings, staff development, and training as required.
- Remain in compliance with internal and external policies, procedures, regulations, and standards, including all EHPS’s policies and procedures and Quality Assurance Plan,
DDAP requirements, State Licensing standards, County Monitoring requirements, and managed care regulations.
- Collect information from collateral resources to aid in determining diagnosis and need for treatment.
- Model and support health and wellness activities and healthy coping skills for clients.
- Transcribe medical dictation, with absolute accuracy, to provide a permanent record of patient care.
- Demonstrate an understanding of the medicolegal implications and responsibilities related to the transcription of patient records to protect the patient and the business/ institution.
- Operate effectively, skillfully and efficiently designated word processing, dictation and transcription.

Job Requirement
Education: Minimum of a Associate Degree in Social Work, psychology and mental health counseling or a related field from an accredited college or university.
Experience: At least one year of experience in mental health setting preferred. Must understand the accurate proofreading of medical records and understand Time must be set aside to accomplish work correctly.

Pay: $18.00 - $20.00 per hour
