ABOUT THE ROLE

We’re seeking a Client Relations Coordinator & Listing Management Specialist to serve as the central hub of communication and organization for our brokerage. This is not a behind-the-scenes administrative role—this is a front-line, client-facing position where your voice, professionalism, and attention to detail will directly shape the experience our clients have with Bernie Gallerani Real Estate.

In this role, you will manage all inbound calls to the main office, serve as the first point of contact for clients and agents, and directly support our Listing Manager in every facet of the listing process. You’ll begin by mastering our under-contract transaction workflow and daily client communications, then grow into expanded listing management responsibilities as you learn the business.

This position is ideal for someone who is a natural communicator, thrives on keeping things organized, and is excited to take ownership of critical client touchpoints across the entire transaction lifecycle.

CORE RESPONSIBILITIES – CLIENT RELATIONS & OFFICE COMMUNICATIONS

You will serve as the voice of our office and the connective thread between our clients, agents, and internal team:

  • Manage All Inbound Office Calls – Answer and route all incoming calls to the main office line with professionalism and warmth. You are the first impression of our brokerage.
  • Client Communication Hub – Handle daily client communications on behalf of our agents and leadership, including status updates, scheduling confirmations, and follow-up conversations.
  • Listing Feedback Management – Receive, organize, and relay showing feedback on all active listings to sellers and their agents. Synthesize feedback trends and communicate them clearly.
  • Agent Team Communication – Serve as the liaison between the listing manager, team lead, and all agents on the team. Ensure information flows accurately and promptly across the organization.
  • Scheduling & Coordination – Coordinate and schedule listing photography, videography, and any other pre-listing vendor appointments. Confirm all appointments and ensure nothing falls through the cracks.
  • MLS Management – Post new listings on the MLS with accurate data entry, compelling descriptions, and proper photography. Monitor and update listing statuses as needed.
  • Offer Management – Receive and organize incoming offers, create polished and professional offer presentation emails for seller clients.

OTHER RESPONSIBILITIES – LISTING MANAGER SUPPORT (POST-TRAINING)

As you grow into the Listing Manager role, your responsibilities will expand to include direct support of our listing operations and seller relationships:

  • Primary Listing Point of Contact – Serve as the main point of contact for all active listings, fielding inquiries from cooperating agents, buyers, and seller clients.
  • Seller Updates & Market Reports – Provide weekly updates and market reports to seller clients, keeping them informed and confident throughout the listing period.
  • Price Adjustment Conversations – Facilitate price adjustment discussions with sellers based on market data, showing feedback, and comparable activity.
  • Comparable Sales & Listing Prep – Pull comparable sales data and assist with listing appointment preparation, ensuring our agents walk into every appointment fully prepared.
  • Offer Presentation & Negotiation – Assist in presenting offers to sellers and, over time, participate in negotiations alongside the team lead.
  • Appointment Confirmations – Send appointment confirmations for showings, inspections, and photography to ensure a seamless client experience at every touchpoint.

QUALIFICATIONS

Required:

  • Excellent verbal and written communication skills—you are not afraid to pick up the phone and have professional conversations with clients and agents.
  • Highly organized, detail-oriented, and deadline-driven with the ability to juggle multiple priorities simultaneously.
  • Comfortable managing sensitive client conversations around repairs, pricing, timelines, and negotiations.
  • Tech-savvy and proficient with CRM platforms, MLS systems, e-signature tools (e.g., DocuSign, Dotloop), and Microsoft/Google Suite.
  • Trustworthy, reliable, and proactive—able to anticipate needs and solve problems independently before they escalate.
  • A positive, collaborative team player who thrives in a professional, fast-moving environment.

Strongly Preferred:

  • Prior experience in real estate coordination, transaction management, or a similar client-facing operations role.
  • Active Tennessee real estate license (required for negotiation responsibilities; unlicensed candidates willing to obtain licensure will be considered).
  • Experience managing high call volumes or serving in a receptionist/client services capacity.
  • Familiarity with real estate photography scheduling, MLS data entry, and listing management workflows.

WHAT SUCCESS LOOKS LIKE

  • Every inbound call is answered with professionalism and routed appropriately—no call goes unanswered or unreturned.
  • Clients feel informed, valued, and cared for at every stage of the transaction.
  • Active listing feedback is collected, organized, and communicated to sellers within 24 hours.
  • All MLS postings are accurate, compelling, and live on schedule.
  • Transaction files are complete, organized, and all deadlines are met without exception.
  • The listing manager and team agents can rely on you as their operational backbone—freeing them to focus on selling.

TRAINING & SUPPORT

You will be fully supported by our current closing coordinators to learn the transaction side of the business, while our listing manager provides direct, hands-on guidance for pre-listing processes, client communication standards, and advanced listing manager duties.
