Overview
We are seeking a dedicated and dynamic Client Care Specialist to join our call center team. In this role, you will serve as the primary point of contact for clients seeking veterinary services, providing exceptional customer service while efficiently managing inquiries. Your medical terminology knowledge and strong communication skills will be essential in delivering a positive experience for pet owners and supporting our mission of accessible veterinary care.
Duties
- Answer incoming calls promptly and professionally, addressing client questions and scheduling appointments with accuracy.
- Utilize medical terminology effectively to communicate with clients about their pets’ health needs and treatment plans.
- Maintain detailed and accurate data entry of client information into the system, ensuring confidentiality and compliance with privacy standards.
- Provide clear information regarding services, policies, and procedures while demonstrating excellent phone etiquette.
- Assist clients in navigating billing processes and payment options with patience and clarity.
- Collaborate with veterinary staff to relay important client information and follow-up on outstanding issues or concerns.
- Demonstrate strong computer skills to efficiently manage multiple systems simultaneously while maintaining a high level of accuracy.
Specific Qualifications:
- Experience in a client-centered role in a veterinary clinic or a social services position is preferred
- Must have high-speed internet
- Must have a computer and headset
- A keen eye for detail
- Exceptional organizational skills
- Ability to prioritize urgent call backs/emergencies
- Impeccable customer service skills
- Must be able to multitask during a call. Ex: Talk and type in an effective manner, when the call ends any notes/appointment scheduling/payment should be completed. Must be ready to take your next call when your current call ends.
Skills
- Fluency in English; bilingual abilities in additional languages are highly desirable to serve diverse communities.
- Knowledge of medical terminology related to veterinary care or healthcare environments.
- Exceptional customer service skills with a professional demeanor and empathetic approach.
- Strong communication skills, both verbal and written, with the ability to convey complex information clearly.
- Proficiency in computer skills including data entry, scheduling software, and basic office applications.
- Previous experience in a medical office or veterinary setting is preferred but not required.
- Analysis skills to assess client needs quickly and provide appropriate solutions or referrals.
- Excellent phone etiquette combined with patience and active listening capabilities to handle challenging situations effectively.
