Client Communications Coordinator

Concierge Choice Physicians (CCP) is a national healthcare marketing and service company that has supported physicians and patients in concierge medicine programs for more than two decades. Membership medicine is a fast-growing niche in the healthcare marketplace, and we have successfully grown along with it, serving as one of the industry’s largest service providers. To continue this growth, we are looking to add a Client Communications Coordinator to our team.

The Client Communications Coordinator works with the Project Management and Marketing teams to support all teams in the coordination of client communications, including e-blasts, letters and photo shoots, and other related communications. The Client Communications Coordinator also oversees and maintains databases of digital assets.

The Client Communications Coordinator bridges the gap between creative, marketing, and operational teams to ensure that communications are properly executed, well-organized, timelines are met, and deliverables align with client and company brand standards as well as regulatory requirements. This role is ideal for a detail-oriented, creative and tech-savvy individual who excels at writing, proofreading, organization, and collaboration.

ROLE AND RESPONSIBILITIES

Communications Coordination:

  • Write, edit and review content for digital communications such as e-newsletters, blog posts, client announcements, event invitations, and other emails.
  • Utilize email templates to create visually appealing and consistent on-brand emails.
  • Maintain email subscriber lists.
  • Create precise segments and schedule digital communications according to schedule and deadlines.
  • Create compelling subject lines, designs, and calls-to-action to optimize open rates and click-through performance, utilizing A/B testing and other email enhancement tools.
  • Collaborate with Data Team, Marketing Teams and mail service provider to coordinate client letters and related materials.
  • Coordinate client photo shoots, including collaborating with Marketing Teams to conduct photographer research, coordinate schedules, providing photo shoot instructions and sharing files, and other related duties.

Project Coordination and Management:

  • Develop and maintain internal communication plans to keep all parties aligned.
  • Collaborate with project owners to manage content revisions and ensure timely approvals.
  • Maintain an organized project calendar and ensure timely scheduling of campaigns. 

Asset Management:

  • Organize and maintain print and digital assets, conducting regular audits to ensure assets are current, consistently named, and easily accessible to team members.
  • Maintain web-based content database and organize files including logos, images and other client data files.
  • Create and maintain digital membership agreement files and other related digital files.

Collaboration, Communication and Monitoring:

  • Serve as liaison between Marketing Teams, Implementation Team, Customer Service Team, and Project Management Team.
  • Communicate clearly and proactively to anticipate needs, flag risks, and keep everyone informed.
  • Monitor and report on key email metrics such as open rates, click rates, bounce rates, and unsubscribe rates.

JOB REQUIREMENTS:

  • Degree in Communications, Journalism, Public Relations or related field, or equivalent experience.
  • Exceptional writing, editing, and proofreading skills.
  • Strong interpersonal communication skills.
  • Excellent organizational, critical thinking and time management skills.
  • Proficiency in Microsoft Office Suite.
  • Experience in MailChimp or similar platforms preferred.
  • Familiarity with tools and programs like Canva or the Adobe suite.
  • Ability to work collaboratively in a fast-paced team environment and manage multiple projects.

Pay: $50,000.00 - $55,000.00 per year
