Swirl Works is a boutique perfumery located at Rosewood Sand Hill in Menlo Park, California. We specialize in custom fragrance experiences for weddings, corporate gatherings, and private events, including interactive perfume bars and guided scent-blending sessions.

We are seeking a Client & Event Operations Associate to support our Event Coordinator and help lead day-to-day storefront operations. This role is ideal for someone who is highly organized, personable, and thrives in a fast-paced, client-facing environment.

This is a hands-on, multi-disciplinary role at the heart of a growing creative business. The selected candidate will be trained in perfumery fundamentals, event operations, and in-store experience leadership.

Position Details

  • Job Type: Part-time, 10– 15 hours per week (in-person; hours may increase as the business grows)
  • Schedule: Must be available weekends and holidays ; this is not a remote role
  • Compensation: $20/hour
  • Experience:
  • 2+ years in retail, hospitality, or event support
  • Event or luxury service experience preferred
  • Social media marketing experience is a plus

The Opportunity

This role focuses on operational and on-site support. You will work closely with the Event Coordinator to ensure events and in-store experiences run smoothly while upholding Swirl Works’ elevated brand standards.

You’ll also play a key role in leading the storefront experience, supporting walk-in customers, managing daily operations, and assisting with fragrance experiences in-store.

Key Responsibilities Event Operations Support

  • Support the Event Coordinator with event preparation and execution
  • Assist with event setup, breakdown, inventory prep, and materials organization
  • Provide on-site support during events, ensuring guests receive a polished and seamless experience
  • Assist with load-in/load-out and real-time problem-solving as needed
  • Uphold brand presentation and professionalism at all events

Storefront Leadership

  • Help lead daily in-store operations and customer experience
  • Guide guests through fragrance discovery and scent-blending experiences
  • Maintain store organization, inventory readiness, and visual standards
  • Support opening/closing procedures and day-to-day operational needs
  • Serve as a knowledgeable brand ambassador for Swirl Works

Internal Coordination & Support

  • Collaborate closely with the Event Coordinator and internal team
  • Assist with internal systems, documentation, and event-related organization
  • Support staffing coordination and communicate operational needs clearly
  • Contribute to continuous improvement of workflows and guest experience

Ideal Qualifications

  • 2–3+ years of experience in retail, hospitality, events, or client service
  • Strong organizational skills and attention to detail
  • Calm, adaptable, and solutions-oriented in live environments
  • Friendly, professional demeanor with excellent interpersonal skills
  • Comfortable supporting luxury or high-touch customer experiences
  • Interest in fragrance, events, or creative brands is a strong plus
