Busy Wealth Management Firm | Manchester, CT | Full-Time | In-Person

We are seeking a highly organized, personable, and proactive Client Experience Coordinator to serve as the first point of contact for our busy financial planning practice. This role is central to creating a welcoming client experience while ensuring the office runs smoothly and efficiently each day.

Position Overview

The client experience coordinator is responsible for the daily activities of the office, serving as the front-line representative for clients and business partners. You will ensure that the office environment is professional, organized, and fully functional while supporting advisors and staff with administrative and client-facing tasks.

This role requires strong follow-through, critical thinking skills, and the ability to manage multiple responsibilities independently.

Core Responsibilities

1. Daily Running of Office Tasks

  • Open and prepare the office each morning (unlock doors, check heating/cooling, ensure readiness for the day)
  • Maintain organized, clean, and professional common areas
  • Monitor and order office supplies; manage vendor relationships
  • Coordinate with vendors and repair professionals as needed
  • Troubleshoot day-to-day office issues to maintain smooth operations
  • Ensure the office environment consistently reflects a positive client experience

2. Client Experience & Front Desk Responsibilities

  • Greet clients warmly and professionally
  • Answer and direct incoming phone calls with excellent telephone etiquette
  • Schedule client meetings and coordinate calendars
  • Gather required forms and documentation for client meetings
  • Follow up with clients and vendors as needed
  • Assist advisors with meeting preparation and CRM updates (training provided)

3. Administrative & Organizational Support

  • Maintain and update CRM systems (Redtail CRM knowledge a plus)
  • Assist with LPL ClientWorks tasks (experience a bonus)
  • Prepare correspondence and assist with workflow coordination
  • Support advisors with administrative tasks as needed
  • Maintain accurate records and ensure timely follow-through

4. Growth & Marketing Support (Optional Expansion Area)

  • Assist with social media presence and client communications
  • Support video messaging to clients (filming/editing a plus)
  • Design invitations, brochures, or graphics (Canva, Adobe, CapCut experience preferred)
  • Partner with vendors and business allies to enhance brand presence
  • Some assistance in organizing client events

This role has room to expand based on skills, interests, and initiative — particularly in marketing and client engagement.

Qualifications

  • Prior office or administrative experience preferred
  • Experience in financial services is a plus (not required)
  • CRM experience (Redtail preferred) a bonus
  • Marketing interest/experience a plus
  • Graphic design or social media skills a plus

Pay: $45,000.00 - $60,000.00 per year
