Job Overview
We are seeking a highly organized, dependable, and customer-service-oriented Coordinator to support our growing mental health practice. This role serves as a key first point of contact for a variety of internal and external stakeholders, including referral sources, callers to the home office, and partners connected to our Forensic Services work.
The ideal candidate is friendly, professional, and detail-oriented, with strong communication skills across phone, email, and virtual platforms such as Teams. This person should be comfortable working across departments, managing shifting priorities, and providing thoughtful administrative support in a fast-paced environment.
This role is well suited for someone who enjoys being helpful, staying organized, and creating a smooth and welcoming experience for others. The position is primarily administrative and customer-facing, with additional responsibility providing support to the Executive Administrative Assistant on forensic and executive-related workflows. Responsibilities may evolve over time based on team and operational needs. In-office presence in West Los Angeles is preferred.
Responsibilities
- Serve as a primary point of contact for incoming calls, referrals, and general office inquiries
- Provide friendly, professional, and responsive customer service to referral sources, callers, visitors, and team members
- Support intake, access, scheduling, and coordination needs across service lines as assigned
- Help manage referrals from skilled nursing facilities and other external partners
- Route inquiries, messages, and requests to the appropriate department or team member in a timely manner
- Provide administrative support to Forensic Services under the direction of the Executive Administrative Assistant, including coordination, tracking, and follow-up as needed
- Assist with scheduling examinations, depositions, and other forensic-related meetings as assigned
- Support organization and tracking of case-related documents and communications
- Assist with maintaining accurate documentation, records, and status updates in relevant systems
- Support general administrative tasks across departments based on operational priorities
- Communicate clearly and professionally through phone, email, Teams, and other internal communication channels
- Support a well-organized, welcoming office environment, including occasional in-person office support as needed

Preferred Qualifications
- Experience in a healthcare, mental health, or professional services setting
- Experience providing administrative support related to forensic services, legal coordination, or similarly detail-sensitive work
- Familiarity with scheduling platforms, EHR systems, or referral coordination workflows
- Ability to work effectively both independently and as part of a team
- Availability to work in person in West Los Angeles.
Pay: $22.00 - $26.00 per hour
