Position Overview

We are seeking (2)Client Intake Specialist to serve as the first point of contact for prospective clients. This is a high-impact, revenue-support role responsible for managing inbound inquiries, qualifying prospective clients, and ensuring that only appropriate candidates are scheduled for strategy sessions.

This role is critical to maintaining the integrity of our client experience and protecting the time of our advisory team. You are not simply answering calls—you are guiding conversations, assessing fit, and controlling the flow of new business into the firm.

Key Responsibilities

Call Handling & First Impressions

  • Answer inbound calls promptly (within 1–3 rings) with professionalism and confidence
  • Establish immediate credibility and a strong first impression
  • Maintain control of the conversation while remaining courteous and composed

Lead Qualification

  • Conduct structured intake conversations to assess:
  • Business ownership status (business owner vs. Salaried)
  • Income range and financial profile
  • Nature and complexity of tax needs
  • Determine whether the caller is an appropriate fit for:
  • Tax Advisory Services (TAS)
  • Tax preparation
  • Alternative resources

Appointment Setting

  • Schedule qualified prospects into strategy sessions with the advisory team
  • Ensure all required information is collected prior to booking
  • Maintain a disciplined and organized scheduling process

CRM & Documentation

  • Accurately input and maintain lead data within the CRM system
  • Track call outcomes, lead quality, and qualification status
  • Identify and flag high-value opportunities for priority follow-up

Client Experience & Brand Representation

  • Maintain a polished, professional, and reassuring tone at all times
  • Ensure every caller feels guided and respected, regardless of fit
  • Represent Tax Brilliance with clarity, confidence, and discretion

QualificationsRequired

  • Minimum 3+ years of experience in a client-facing role (e.g., intake, call handling, sales support, or customer-facing positions)
  • Strong verbal communication skills with a confident and professional phone presence
  • Ability to guide conversations and ask structured, direct questions
  • High level of organization and attention to detail
  • Reliable, responsive, and capable of working in a fast-paced environment

Preferred

  • Experience in:
  • Client intake or appointment setting
  • Sales or lead qualification environments
  • Financial services, tax, healthcare, or advisory industries
  • Associate’s or Bachelor’s degree in Finance, Accounting, Marketing, Liberal Arts, or a related field (preferred)

What This Role Is Not

  • This is not a receptionist or front desk position
  • This is not passive call answering
  • This is not general customer service
  • Hours for fthis shift is 10am-6pm

This role requires judgment, confidence, and the ability to manage conversations with intention.

Compensation

  • Competitive hourly rate or base compensation (commensurate with experience)
  • Performance-based incentives tied to qualified appointments and outcomes

Work Environment

  • Remote or hybrid (based on operational needs)
  • Must be available during standard business hours to handle inbound calls
