General Summary
Under the supervision of the General Manager, the Client Services Coordinator is responsible for all customer service tasks at the front desk of the Fixed Base Operations (FBO) office at the Marquette Sawyer Regional Airport including but not limited to greeting and assisting flight crews and passengers, hotel accommodations, catering, ground transportation arrangements, pilot supplies and other ground support items. The Client Service Coordinator will also be responsible for answering multiple telephone lines, ground-to-air radio, accepting payments for services, assisting with daily reconciliation of sales, balancing a cash drawer, and prepare daily, weekly, and monthly reports to the General Manager.
Essential Functions
1. Provide professional, discreet, and service-oriented interactions with high-profile, corporate, military, and private aviation clients.
2. Greet guests and crews as they arrive at facility and escorting them to the front office, aircraft, or vehicles. Effectively collaborate, cooperate and work closely with all team members, guests, and other visitors to ensure services are promptly and correctly handled.
3. Assist with hotel reservations, catering, rental cars, and processing paperwork. Be a source of information including accurate directions to local restaurants, hotels, and attractions.
4. Monitor the use of courtesy vehicles. Log vehicles in/out as needed.
5. Assist clients with our phone system, phone calls, faxes, internet, flight planning, and weather computers.
6. Mail “Thank you” or “Hello” cards to customers when you meet them for the first time, they have aircraft maintenance done, etc.
7. Ensure all documentation, receipts, transactions, accounting records, etc. are accurately completed, processed, and forwarded to the appropriate parties.
8. Process customer daily refueling journals and preparation of receivable /payable accounting in accordance with procedures.
9. Completes service request forms, hangar/ramp storage records, and daily aircraft movements and services log.
10. Manage departmental filing system. Maintain system for recording expenses and petty cash use.
11. Monitors vehicle and personnel access onto aircraft parking ramp.
12. Responds to vendor, customer, and employee questions/concerns in an efficient and effective manner.
13. Receives airport service orders and directs line service personnel to accomplish services requests as appropriate.
14. Maintains the appearance of the interior facility and replenishes complementary beverages and/or supplies.
15. Monitor current fuel inventory and anticipated fuel orders, acquire additional fuel as needed for potential increases in demand. Coordinate with vendors for ordering, payment, and record retention.
16. Maintains continuous radio contact with line service personnel. Maintain situational awareness of airfield and ramp activity to support safe, secure, and efficient operations.
17. Identify crewmembers, passengers, visitors, and vendors in accordance with all security procedures. Abide by emergency response procedures during critical events.
18. Review line service records for accuracy, including fuel sheets, transactions, and daily tank level reports.
19. Retrieves information from records, emails, and meeting minutes as requested. Prepare written summaries of data as needed.
20. Generate invoices for airport fees (landing, parking, surcharges, etc.) and be able to process multiple forms of payment.
21. Maintain office supplies and coordinate maintenance of office equipment.
22. Comply with all TSA, FAA, DHS, and airport security regulations and report security concerns or irregularities immediately.
23. Performs other related duties as assigned.

Employment Qualifications
Education: High school graduation or equivalent, preferably with college level coursework in data processing or office management.
Experience: Two years of progressively more responsible administrative experience with experience in word processing, spreadsheet applications and general office practices.
Other Requirements:
· Valid MI Driver’s License
· Ability to multi-task daily while easily being able to reclaim focus.
· Security Clearance: Prior to actual employment, must pass a 10-year Criminal History Background Record Check (CHRC) as required by the Department of Homeland Security and the Transportation Security Administration.
Physical Requirements
· Ability to meet or exceed all requirements of the Federal Aviation Administration Federal Aviation Regulation mandated personnel regulations at an air carrier airport.
· Proficiency with point-of-sale systems, reservation or scheduling software, and Microsoft Office applications.

Working Conditions:
· Ability to work flexible schedules, including early mornings, evenings, weekends, holidays, and irregular hours based on flight activity.
· Primarily works in office conditions with periodic exposure to outdoor ramp environments, including varying weather and conditions and aircraft noise.
Pay: $21.35 per hour
Expected hours: 40.0 per week
