Position Overview

The Client Service Manager / Administrative Assistant is a key member of our firm and often the first impression clients have of TDA. This role blends client-facing responsibilities with administrative and operational support, helping keep our firm running smoothly and our team focused on serving clients.

This position is perfect for someone who enjoys being at the center of a busy office, takes pride in delivering exceptional service, and thrives in a fast-paced, collaborative environment.

What You’ll Do

Client Experience & Communication

  • Greet clients and visitors with warmth and professionalism, serving as the firm’s first point of contact.
  • Manage incoming calls, emails, and inquiries while ensuring timely and friendly communication.
  • Build positive relationships with clients and support seamless communication between clients and staff.

Administrative & Team Support

  • Schedule and coordinate meetings, appointments, and client engagements.
  • Prepare, organize, and maintain client files and firm records (both digital and physical).
  • Assist accounting staff with administrative needs such as document preparation, scanning, filing, and data entry.
  • Support the creation of reports, presentations, proposals, and engagement materials.

Office & Operations

  • Maintain office supply inventory and coordinate ordering.
  • Help improve office processes and workflow efficiency.
  • Handle confidential and sensitive information with professionalism and discretion.

What We’re Looking For

  • High school diploma or equivalent required; additional education in office administration or business is a plus.
  • At least 2 years of experience in an administrative or client service role; experience in a CPA or professional services firm is preferred.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook); familiarity with accounting or document management software is a plus.
  • Exceptional organizational and time-management skills.
  • Strong communication skills and a friendly, professional demeanor.
  • A proactive, dependable team player who enjoys learning and taking initiative.

Job Type: Full-time

Pay: $25.00 - $35.00 per hour
