Position Overview
We are seeking a highly organized, customer-focused, and adaptable Client Services & Training Coordinator to join our team. This role is primarily office-based, serving as the first point of contact for our members, students, and partners. The ideal candidate will manage daily administrative operations, coordinate training schedules, and ensure a seamless experience for all facility users.
This position offers a unique growth trajectory. While starting in an administrative and client services capacity, the successful candidate will have the opportunity to expand their role into firearms instruction, sales, and marketing, particularly supporting our Artemis Ascent program and Orion Training Systems (OTS) partners.
Primary Responsibilities (Office & Administration)
● Client Relations & Front Desk Operations: Greet members, students, and guests. Answer phone inquiries, manage email correspondence, and provide detailed information about ADI’s memberships, classes, and simulator resources.
● Scheduling & Coordination: Manage the booking calendar for the V180 Lab, V180 classroom, V300, VR system, and live-fire range. Optimize facility utilization, particularly during mid-day (1:30 PM - 5:00 PM) and weekend evenings.
● Membership & Sales Support: Assist with membership sign-ups, renewals, and billing inquiries. Process retail sales of merchandise and training packages.
● Compliance & Record Keeping: Ensure all students and members have completed necessary safety waivers and documentation. Maintain accurate training records and assist with compliance for CCW and BSIS certifications.
● Facility Management: Ensure the reception area, classrooms, and simulator rooms are clean, organized, and prepared for daily operations. Growth Opportunities (Instruction, Sales & Marketing) As you master the core administrative duties, you will have the opportunity to cross-train and expand your responsibilities into the following areas:
● Firearms Instruction: Shadow our lead instructors (including JJ Jafari) to learn ADI’s curriculum. Work towards becoming a certified instructor to teach foundational classes (Pistol 1, 2, 3) and assist with Skills and Drills sessions.
● Marketing & Outreach: Assist the CMO with local marketing initiatives, social media content creation, and community outreach to increase facility capacity. Help promote corporate events and private group training.
● B2B Sales & Partner Support: Support the Artemis Ascent program by assisting Orion Training Systems (OTS) lease partners. Help bridge the gap for partners who need business/marketing support or firearms training expertise. Qualifications & Skills
● Experience: 1-3 years of experience in office administration, customer service, or a front-desk role. Experience in a membership-based business, fitness center, or training facility is a plus.
● Communication: Exceptional verbal and written communication skills. Ability to interact professionally with a diverse clientele, including civilians, law enforcement, and corporate groups.
● Organization: Strong organizational skills with the ability to multitask, manage schedules, and handle administrative workflows efficiently.
● Tech-Savvy: Proficient in using scheduling software, CRM systems, and basic office applications. Willingness to learn new technologies related to our simulator systems.
● Industry Interest: A strong interest in the firearms training industry, 2nd Amendment jurisprudence, and a commitment to our philosophy of "Thinkers before Shooters."
● Requirements: Must be 21 years of age or older and able to pass a comprehensive background check.

Pay: $25.00 - $35.00 per hour
