Client Solutions Coordinator & Administrative Support

About the Role

We’re looking for a highly organized, detail-oriented problem solver to support both our client-facing Solutions Team and internal business operations.

This role sits at the center of how our business runs day-to-day — helping ensure that client work moves forward smoothly while also supporting administrative, financial, and operational processes behind the scenes.

You’ll work closely with our Solutions team and Business Administrator to keep things accurate, organized, and moving forward.

What You’ll Do

Client Coordination & Support

  • Communicate with clients during active projects
  • Provide updates on orders, timelines, and documentation
  • Support scheduling, follow-ups, and general coordination
  • Maintain a professional, proactive client experience

Order & Workflow Management

  • Enter and manage project data in NetSuite and internal systems
  • Track order status, updates, and documentation
  • Support quoting, data entry, and workflow coordination
  • Collaborate across teams to ensure deadlines are met

Administrative & Business Operations Support

  • Process invoices and support accounts payable/receivable processes
  • Support onboarding, employee records, and internal processes
  • Coordinate purchasing requests and vendor documentation
  • Maintain organized records and compliance documentation
  • Support general office operations (supplies, shared spaces, events)

What We’re Looking For

  • 3+ years of experience in administrative, customer service, or coordination roles
  • Strong attention to detail and accuracy
  • Comfortable working across multiple responsibilities
  • Confident using technology (ERP/CRM systems, Microsoft tools, etc.)
  • Strong communication and organizational skills
  • Self-starter with a high level of accountability

Bonus if you have:

  • Experience with invoicing, AP/AR, payroll, or bookkeeping
  • Experience supporting HR or business operations
  • Experience in a manufacturing or technical environment

Pay: $22.00 - $26.00 per hour
