About the Role
DeskFrnd is hiring a Client Support Representative for a UK-based legal client project. This role supports a UK law firm and focuses on legal file opening, ongoing file administration, and file closing processes, while maintaining high standards of accuracy, professionalism, and confidentiality.
You will act as a key coordination point between clients, the internal administration team, and overseas stakeholders to ensure matters are opened correctly, progressed smoothly, and closed in line with UK legal procedures and service level agreements.
What We Mean by File Opening & File ClosingFile Opening Includes
- Creating new legal matters in the case management system
- Entering client details accurately (names, addresses, contact details)
- Recording matter type (e.g. Wills, Probate, Private Client matters)
- Generating initial documents such as client care letters
- Reviewing instructions to ensure all required information is complete
- Following correct order and internal SLAs unless priority is clearly instructed
File Closing Includes
- Ensuring all documents are finalised and saved correctly
- Updating matter status once work is completed
- Confirming no pending actions remain
- Archiving and closing files in line with internal procedures and data protection requirements
Key ResponsibilitiesClient Communication & Support
- Handle client enquiries with clarity, professionalism, and sensitivity
- Provide accurate updates on file opening, progress, and closure
- Ensure all communication meets UK legal service standards
File Opening, Maintenance & Closing
- Liaise with the administration team to manage file opening, ongoing maintenance, and closure
- Ensure files are processed accurately and within defined SLAs
- Maintain correct processing order unless instructed otherwise
Documentation & Case Support
- Organise, review, and maintain client documents throughout the file lifecycle
- Ensure accurate data entry and document formatting
- Proofread client care letters and correspondence before finalisation
- Support paralegals and fee earners with administrative tasks when required
Quality, Compliance & Standards
- Uphold strict confidentiality and GDPR/data protection requirements
- Ensure accuracy, consistency, and quality across all records and communications
- Follow internal procedures and contribute to continuous process improvement
Required Skills & Qualifications
- Bachelor’s degree (any discipline)
- Minimum 2 years’ experience in administration, client or customer support, legal support, or a similar role
- Excellent written and verbal English communication skills
