Clinical Care and Systems Coordinator

Clinical Care & Systems Coordinator

Graceful Waves Wellness Center – Wheeler, Oregon

Full-Time | 32–40 hours/week

About Us

Graceful Waves Wellness Center is a heart-centered, vision-driven Chiropractic wellness practice devoted to helping people Live Vibrantly, Love Soulfully, and Inspire Greatness.

We specialize in advanced spinal care, nervous system optimization, and transformational healing. Our environment is warm, uplifting, and grounded in integrity, presence, and service. As our practice grows and evolves, we are seeking a team member who feels inspired to contribute meaningfully to healing work while also supporting structure, flow, and systems.

Position Overview

We are seeking a Clinical Care & Systems Coordinator to join our team in a pivotal, hands-on role.

This position is designed as a cross-trained role spanning both front desk systems and clinical care, with team members supporting where needed to create a smooth, cohesive experience for our Practice Members.

While some team members may naturally lean more toward clinical or systems over time, all team members are trained in both areas. Many new hires begin by building strength in front desk systems and flow, while gradually expanding into clinical support.

The ideal candidate is warm, reliable, organized, and energized by learning — someone who enjoys both working directly with people and helping a practice run smoothly behind the scenes.

Key Responsibilities

Clinical Care (Cross-Trained Role)

· Assist with non-invasive assessments (surface EMG, digital thermography, range-of-motion testing)

· Support the doctor during entrainment flow, exams, and re-evaluations

· Guide Practice Members through the clinical experience with warmth and professionalism

· Prepare rooms and help maintain a clean, coherent healing environment

· Support documentation workflows and clinical processes

Systems & Structure

· Assist with the upcoming transition to Platinum EHR, including learning workflows, templates, and processes

· Support organization, accuracy, and smooth daily operations

· Help maintain clear systems that support consistency and ease

Front Desk & Practice Flow (Cross-Trained)

· Welcome Practice Members with warmth and presence

· Assist with scheduling, daily flow, and communication

· Process investments (payments) and support basic office coordination

· Assist with community events, classes, and simple Canva-based materials

Platinum EHR Transition

Our practice will soon be transitioning to Platinum EHR, a comprehensive Chiropractic software system used by many leading wellness practices.

Training will be provided. This role will actively participate in learning, implementing, and helping organize this transition. The ideal candidate is energized by learning systems and contributing to real operational progress—not just observing it.

Who You Are

Heart-Centered & Service-Oriented

· Warm, grounded, and genuinely caring

· Comfortable supporting people in a healing environment

· Understands the importance of presence and professionalism

Reliable, Organized & Steady

· Thrives with clear expectations and structure

· Dependable and consistent in attendance and follow-through

· Comfortable being cross-trained and supporting multiple areas of the practice as needed

Tech-Capable & Growth-Oriented

· Comfortable with basic office technology

· Willing to learn new software systems (EHR experience not required)

· Familiar with or open to using tools like ChatGPT and Canva

· Communicates clearly with strong grammar and attention to detail

Collaborative Team Member

· Communicates respectfully and directly

· Helps protect the coherent environment required for optimal care

· Values personal growth, teamwork, and mission-driven work

Schedule & Availability

· Core practice days are Monday, Tuesday, and Thursday

· Additional hours often available on Wednesday for training, systems work, and preparation

· Occasional weekend events and periodic out-of-town trainings (typically 2–3 per year) offer opportunities for team learning, growth, and connection within a larger community of like-minded practitioners.

Most days begin between 9:30–10:00 AM and extend into the early evening, typically until around 6:30–7:00 PM on busier days.

A few times per month, we host special events such as our Community Dinners or educational talks, which may extend the day slightly later. These are a meaningful part of the practice, though not part of the regular weekly schedule.

Applicants should be in a life season where they are able to consistently engage with this rhythm, including occasional travel and event participation.

Consistency and reliability are important to the people we serve.

Compensation & Benefits

· $18–$22+ per hour, depending on experience

· Performance-based bonuses

· Paid time off after one year

· Eligibility to discuss a health insurance stipend after six months

· Inclusive access to spinal care for you and your immediate family

· Opportunities for growth as the practice expands
