Clinical Coordinator (Residential Treatment Facility – Level III)

Position Overview

The Program Coordinator plays a critical role in ensuring smooth daily operations, regulatory compliance, and effective communication between staff, clinical teams, and external stakeholders. This role supports incident tracking, documentation, scheduling, and administrative coordination to maintain a structured and compliant environment.

This is a fast-paced, high-accountability role that requires strong organizational skills, attention to detail, and the ability to follow through consistently.

Key Responsibilities

Administrative & Coordination

  • Manage and maintain program schedules, including CFT meetings, clinical reviews, and staff trainings
  • Send meeting reminders and ensure attendance compliance
  • Coordinate communication with guardians, social workers, and external providers
  • Maintain organized records, logs, and documentation systems

Incident & Compliance Tracking

  • Track all incident reports to ensure timely submission (within required timeframes)
  • Follow up with staff on missing or incomplete documentation
  • Maintain incident logs and prepare summaries for clinical review
  • Ensure documentation meets DHSR/CARF standards

Clinical Support

  • Assist with documenting meeting notes (CFTs, clinical reviews)
  • Support QP/Clinical Supervisor with tracking supervision logs and documentation
  • Monitor completion of PCP updates and required clinical documentation

Staff Accountability Support

  • Monitor completion of required documentation by staff
  • Follow up on assigned tasks, write-ups, and supervision requirements
  • Support leadership in maintaining structure and consistency across shifts

Organization & Systems Management

  • Maintain calendars, trackers, and compliance tools
  • Ensure all required documents are audit-ready
  • Assist in preparing reports for internal review and audits

Qualifications

  • Strong organizational and time management skills
  • Excellent communication skills (written and verbal)
  • Ability to follow through and hold others accountable
  • Experience with administrative coordination, scheduling, or program support preferred
  • Experience in healthcare, behavioral health, or social services is a plus
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and email communication

Preferred Qualities

  • Comfortable working in a structured, compliance-driven environment
  • Ability to manage multiple tasks and deadlines
  • Confident in following up with staff and maintaining accountability
  • Professional and able to maintain boundaries in a clinical setting
  • Proven experience working with children and adolescents in behavioral health or mental health counseling settings.
  • Strong background in crisis intervention, crisis management, and trauma-informed care including PTSD care.
  • Knowledge of medical terminology, ICD coding (ICD-9, ICD-10), CPT coding, and medical documentation standards.
  • Experience with working with individuals with developmental disabilities or autism spectrum disorder (ASD), including special education strategies.
  • Familiarity with behavioral therapy techniques such as applied behavior analysis (ABA), social work principles, and diagnostic evaluation processes.
  • Prior experience in hospital or clinical research settings is advantageous; familiarity with data collection and research methodologies is a plus.

Pay: From $17.00 per hour
