Jewish Family & Career Services of Atlanta (JF&CS) is seeking a Clinical Intake Specialist to support clients, families, referral partners, and the Clinical Services team through a responsive, organized, and trauma-informed intake experience. This role is ideal for a warm, detail-oriented professional who can balance empathy, confidentiality, administrative accuracy, and sound judgment while helping individuals access mental health services.

The Clinical Intake Specialist will work in person at the Dunwoody office and will help ensure that clients are guided efficiently from first contact through assessment, scheduling, insurance review, referral coordination, and connection to the appropriate level of care.

The Role at a Glance

  • Reports to the Director of Business Operations
  • Supports the Clinical Services division through client intake, scheduling, documentation, and coordination
  • Conducts preliminary phone screenings and helps determine appropriate services and level of care
  • Coordinates with clinicians, administrative staff, referral sources, clients, and families to create a seamless intake experience
  • Full-time, in-person role based at the Dunwoody office


What You’ll Be Responsible For

  • Conduct preliminary phone screenings and intake assessments to understand client needs, assess risk, and identify appropriate services.
  • Monitor waitlists and coordinate client assignment to clinicians based on availability, clinical fit, and service needs.
  • Schedule intake appointments in collaboration with clinicians and administrative team members.
  • Provide clear, compassionate information about available mental health services, treatment options, and the intake process.
  • Maintain professional, empathetic communication with clients, families, referral sources, and internal team members.
  • Respond appropriately to crisis situations by following established protocols and connecting clients to necessary support.
  • Attend staff meetings, consultation meetings, and related clinical team discussions.
  • Accurately document client information, health history, insurance details, referral information, and other required data in the electronic health record system.
  • Review insurance coverage and benefits to support accurate billing, reimbursement, and client communication.
  • Collaborate with clinical staff, administrative personnel, and referring providers to support continuity of care.
  • Track monthly intake metrics requested by leadership, including referral-to-first-appointment timing, call volume, declined-service reasons, and related data.
  • Identify opportunities to improve intake workflows, streamline processes, and enhance the client experience.
  • Coordinate and train intake volunteers as needed.
  • Support front desk operations and perform other duties as assigned.

Requirements:

What You Bring

  • Bachelor’s or master’s degree in psychology, social work, counseling, healthcare administration, or a related field.
  • Experience in intake coordination, client support, behavioral health, healthcare administration, or a similar client-facing role.
  • Strong interpersonal and communication skills, including the ability to demonstrate empathy while maintaining professional boundaries.
  • Experience using electronic health record systems or the ability to learn new systems quickly.
  • Strong attention to detail when managing client records, documentation, scheduling, and insurance-related information.
  • Ability to handle stressful situations and emotionally sensitive conversations with sound judgment.
  • Knowledge of mental health terminology, diagnostic criteria, treatment modalities, and intake procedures preferred.
  • Familiarity with insurance verification, billing procedures, HIPAA, clinical ethics, and client confidentiality preferred.
  • Willingness to learn about Judaism and Jewish families.
  • Availability to work some evening hours as needed to meet client demand.
