Clinical Operations Coordinator

Clinical Operations Coordinator (2–5 Year Experience)
University Pain Centers is seeking motivated, detail-oriented professionals committed to delivering high-quality, patient-centered care. This role is ideal for individuals early in their healthcare careers who are looking to gain hands-on experience in a fast-paced clinical environment.

This position includes responsibilities across both our Westchester and Chicago locations and requires the ability to travel between sites as needed.

As a Clinic Operations Coordinator, you will answer phone calls, enter new patient data, schedule appointments, and assist with patient check-in using the Healow patient portal and other digital tools. This role requires strong comfort with technology, the ability to learn systems quickly, and the ability to work efficiently in a high-volume, fast-paced environment.

This is an ideal opportunity for someone early in their healthcare career who is organized, tech-comfortable, and eager to grow in a busy pain management clinic.

What You’ll Do

  • Accurately enter and update new patient information in the EMR system in real time
  • Use the eCW Healow patient portal and other digital tools to support patient communication and appointment management
  • Verify insurance and assist with prior authorizations (training provided)
  • Register new patients and update EMR records
  • Manage a high volume of phone calls and assist with patient inquiries
  • Collaborate with clinical staff using shared digital workflows to ensure efficient patient flow
  • Travel to Chicago location as needed
  • Assist with special projects assigned by the Practice Administrator

What You Bring

  • Education: High school diploma required; some college preferred
  • Experience: 2–5 years in a front desk or clinical support role (healthcare setting preferred)

Skills:

  • Strong communication skills (in person and over the phone)
  • Ability to multitask and prioritize in a busy environment
  • Familiarity with basic insurance processes (we’ll train you)
  • Tech-savvy and eager to learn
  • Reliable, professional, and confidentiality-focused

Job Type: Full-time

Pay: $20.00 - $23.00 per hour
