Clinical Operations Manager/Clinician (CA, TX, or NM License Required)

About the Clinical Operations Manager Role…

Thrive Therapeutic Services is seeking a clinician to join our leadership team as a Clinical Operations Manager. This is a full-time hybrid clinical and administrative leadership role for someone who understands both high-quality mental health care and the operational systems needed to run a strong, responsive, and sustainable practice.

This is not primarily a full-time therapy role with a few administrative tasks added on. It is an operations leadership role with a limited clinical caseload.

The Clinical Operations Manager will carry approximately 9-11 client sessions per week, with the remainder of the role focused on clinical operations, administrative leadership, staff accountability, onboarding, scheduling systems, workflow follow-through, and direct supervision of administrative staff.

The ideal candidate is a clinician who enjoys building systems, managing people, improving follow-through, and helping a growing mental health practice run with clarity and consistency.

Basic Responsibilities:

Administrative Staff Supervision

  • Directly supervise and support administrative staff, including the Patient Care Coordinator and Administrative Assistant roles.
  • Set clear daily, weekly, and monthly expectations for administrative staff.
  • Monitor task completion, follow-through, communication, and work quality.
  • Provide coaching, correction, and accountability when tasks are incomplete, inaccurate, or delayed.
  • Ensure administrative staff follow documented procedures and know when to escalate issues.
  • Hold regular administrative team check-ins and help create a stronger rhythm of accountability.
  • Support performance improvement plans or corrective action processes when appropriate, in partnership with the CEO.

Clinical Operations and Administrative Oversight

  • Co-manage clinicians on the administrative side of the practice while the Clinical Director maintains clinical oversight.
  • Support scheduling expectations, schedule adherence, time-off coordination, and coverage planning.
  • Help ensure clinicians follow administrative procedures related to availability, documentation workflow, timekeeping, internal communication, and required forms.
  • Monitor workflow gaps and help create or update standard operating procedures.
  • Support administrative compliance across systems such as the EHR, HR platform, scheduling tools, and internal tracking systems.
  • Partner with the Clinical Director when an issue has both clinical and administrative components.
  • Help reduce operational bottlenecks so the CEO and Clinical Director can remain focused on higher-level leadership priorities.

HR Coordination, Recruitment, and Onboarding

  • Serve as an internal point of contact for non-clinical employee questions related to scheduling, time off, benefits, onboarding, and administrative procedures.
  • Coordinate benefits-related communication, open enrollment logistics, and employee follow-up in partnership with the CEO and HR/payroll consultants.
  • Assist with recruitment, job postings, interview coordination, candidate communication, and onboarding logistics.
  • Help maintain onboarding checklists, personnel documentation, training materials, and internal procedure guides.
  • Support employee relations and performance management processes in consultation with the CEO and outside HR support as needed.
  • Maintain confidentiality and sound judgment when handling HR-sensitive information.

Direct Clinical Services

  • Provide ethical, high-quality psychotherapy services within scope of licensure.
  • Maintain a limited caseload of approximately 9-11 client sessions per week.
  • Complete documentation accurately and on time in accordance with Thrive policies and applicable standards.
  • Maintain active licensure, required credentials, and professional liability coverage as applicable.
  • Use direct clinical experience to inform practical workflow and operational decisions.

Leadership Partnership

This role works in close partnership with the Clinical Director, but the leadership lanes are distinct.

The Clinical Director leads clinical quality, clinical consultation, documentation standards, clinical training, clinical supervision, clinical risk concerns, and treatment-related performance issues.

The Clinical Operations Manager leads administrative staff supervision, scheduling processes, time-off coordination, benefits coordination, onboarding logistics, administrative workflow compliance, staff follow-through, and HR-related routing.

For mixed clinical and administrative concerns, the Clinical Operations Manager and Clinical Director collaborate and consult with the CEO as needed.

Required Qualifications:

  • Active California or New Mexico clinical license in good standing, such as LMFT, LCSW, LPCC, licensed psychologist, or other applicable independent clinical license. ***Will consider Associate candidates with strong managerial/administrative experience.
  • Experience working in a mental health practice, behavioral health agency, healthcare setting, or similar clinical environment.
  • Experience managing people, projects, workflows, operations, or administrative systems.
  • Strong organizational skills and the ability to track multiple moving pieces without losing follow-through.
  • Strong written and verbal communication skills.
  • Comfort providing direct, professional feedback and holding staff accountable.
  • Ability to maintain confidentiality and exercise sound judgment with personnel and client-related information.
  • Comfort using technology, EHR systems, scheduling tools, and HR or payroll platforms.
  • NPI Number, PAVE Enrollment, and CAQH Registration, Telehealth Certificate
  • Experience in providing therapy, conducting intakes, and developing treatment plans.
  • Ability to collaborate effectively within a remote team-based environment.
  • Commitment to ongoing professional development and cultural competence.
  • Ability to hold Telehealth sessions remotely in a professionally appropriate, completely confidential, and quiet space free of distractions.

Ideal Candidate

The ideal candidate is a clinician who is systems-minded, emotionally mature, and comfortable with leadership. They are warm but direct, organized but flexible, and able to balance compassion with accountability.

This person should not be looking for an easier role or simply a way to reduce clinical hours. This role is best suited for someone who genuinely enjoys operations, staff support, workflow improvement, and helping an organization run better.

  • Can work collaboratively with executive and clinical leadership.
  • Have strong follow-through and do not need close micromanagement to stay organized.
