Ovation Communities is seeking a Clinical Services Coordinator who is responsible for ensuring the smooth and efficient operation of the Clinical Services Department through a variety of administrative and logistical duties. Responsibilities include coordinating staff scheduling and time management for the clinical team, scheduling Resident appointments and arranging transportation services, managing inventory control and ordering necessary clinical and office supplies, and collecting, organizing, and maintaining Resident charts, care cards, and billing documentation. The position also includes coordinating and maintaining the visiting provider schedule, delivering high levels of customer service to Residents, families, and healthcare partners, and providing administrative support to the RN Supervisor, Director of Clinical Services and the nursing staff.
Key Responsibilities:
  • Initiates and maintains hard charts and electronic medical records (EMR) for all Residents receiving Nursing Services.
  • Scans and uploads medical records, lab results, and appointment paperwork into PCC.
  • Creates new patient charts upon move-in; disassembles and files hard charts upon discharge.
  • Completes the monthly billing spreadsheet accurately and in a timely manner.
  • Maintains appointment schedules for external providers (Dental, Podiatry, Audiology, Optometry, etc.).
  • Interacts professionally with physicians, Residents, staff, consultants, visitors, and others to facilitate clear communication.
  • Assists the RN Supervisor and Clinical Director with preparation for State surveys.

Experience: Prior experience in healthcare administration, senior living, or a clinical support role. Scheduling experience (preferred).

Education: High school diploma or equivalent; associate’s degree or higher preferred.
Other: Excellent organizational and time-management skills. Read, write and speak the English language. Strong communication and customer service abilities. Proficiency in Microsoft Office and scheduling systems; electronic medical record (EMR) experience a plus. Ability to maintain confidentiality and demonstrate professionalism in all interactions.
