Clinical Training and Operations Manager - Orthodontics

Clinical Training & Operations Manager

Smile Power Orthodontics — Walnut Creek, CA

Full-time · 4 days per week

Who We Are

We're a healthcare team that provides custom solutions for building a beautiful smiles and helping patients breathe better. After 20 years in practice, Dr. Powers invested in a new, state-of-the-art facility designed for the team: a staff lounge, personal lockers, and real room to work. Our 3D technologies streamline both operations and clinical care.

We run a 4-day and 2-day rotating operation that builds in flexibility for personal time. We're growing and thriving, and we're committed to renewing our systems and cultivating a growth mindset for both personal and business development. Our team is caring, energetic, collaborative, and genuinely committed to quality work.

We're hiring a Clinical Training & Operations Manager — a hands-on leader who can run the floor and build the people. This is not a supervisory role. We want someone who knows how to coach individual team members, design training that sticks, and create the kind of clinical culture people don't want to leave.

What You'll Do

Your time will be split intentionally across three areas:

Operations — 50%

This is a hands-on, chairside role — you'll perform clinical care alongside the team. You'll learn our roles and systems, then lead and improve how we run the clinic day to day. This includes:

  • Delivering direct clinical care and chairside patient treatment
  • Understand and optimize Doctor time scheduling
  • Document / data management lab orders
  • How we make clinical decisions — and how we develop autonomous thinkers on the team
  • Communication standards across verbal, text, and email
  • Support and assist the Clinical Coordinator that makes daily clinical flow, chair-side coordination, and day-of problem solving decisions so patients move efficiently and care quality stays high
  • Clinical compliance, readiness, and protocol adherence

Team Development & Coaching — 25%

  • Coach clinical team members individually — meeting people where they are and helping them level up
  • Identify skill gaps and growth opportunities, then act on them
  • Build a feedback culture: regular check-ins, clear expectations, and recognition
  • Develop emerging leaders on the team (we have talent ready to grow with the right mentorship)

Systems & Training Programs — 25%

  • Design, build, and maintain structured training programs and onboarding for clinical staff
  • Create repeatable systems, SOPs, and reference materials that reduce variation and ramp new hires faster
  • Continuously improve workflows to drive cohesion, engagement, and retention
  • Measure what's working and refine it

Who You Are

Must-haves

  • Clinical background in orthodontics or dentistry (e.g., experienced orthodontic assistant, RDA, or equivalent clinical leadership experience)
  • Proven ability to build/improve training programs
  • Strong, demonstrated coaching and mentoring skills; you genuinely enjoy developing people
  • Excellent communication — clear, warm, and direct with team members, patients, and leadership
  • Track record of improving clinical systems or workflows
  • Organized, proactive, and comfortable owning outcomes
  • Growth Mindset
  • Positive Attitude and solutions oriented
  • Learning Mindset

Bonus

  • Prior experience as a clinical lead, trainer, or manager in a high-volume practice
  • Familiarity with orthodontic-specific procedures and technology
  • Experience building onboarding programs or LMS-style training content
  • Experience with Dolphin Management, EasyRx, ITero scanner, Plan Meca Viso

Schedule

  • Full-time, 4 days per week
  • Mix of clinical days and dedicated development/systems time

Benefits

  • Paid time off (PTO)
  • 401(k) with employee and employer matching
  • Medical reimbursement
  • Phone benefit
  • Holiday pay
  • Performance bonus

Why This Role

You'll have real ownership over how this clinical team grows — the structure, the training, the culture. If you're someone who lights up when a team member you coached finally clicks, and who can build the systems that make that repeatable, this is your role and we would love to have you join our team.
