Co-Office Manager / Legal Administrator

We are hiring a Co-Office Manager / Legal Administrator to join our team.

The Role

This position requires a hands-on, highly detailed and responsible leader who can balance traditional office management with direct legal administrative support. You will work closely with attorneys and staff to ensure smooth operations and consistent case support.

This position is full-time, non-exempt, and to performed in-person at our offices in downtown Los Angeles.

Key Responsibilities

  • Office Operations
  • Run day-to-day administrative functions, including office systems, vendors, and supplies.
  • Manage office supplies, equipment, and technology, ensuring proper maintenance and procurement.
  • Maintain compliance with firm procedures and deadlines.
  • Coordinate with IT vendors and troubleshoot technology issues.
  • Manage insurance policies, contracts, and other risk-related documentation.
  • Case & Attorney Support
  • Provide ongoing support to Attorney’s and Paralegal’s on various projects.
  • Assist attorneys with document preparation, filing, and organization.
  • Finance & HR
  • Assist bookkeeping with billing, accounts receivable, and vendor invoices.
  • Help coordinate payroll, benefits, and onboarding.
  • Liaise with external vendors or bookkeepers as needed.
  • Leadership & Collaboration
  • Serve as a point of contact for attorneys, paralegals, clients, and vendors.
  • Manage recruitment, onboarding, and training of administrative staff. Ensure staff is trained on relevant technology and software.

Qualifications

  • Associates Degree required; paralegal certificate and/or bachelor’s degree a plus.
  • Minimum 3–5 years of law firm administrative experience, ideally in a litigation practice.
  • Familiarity with legal billing systems and case management tools (Clio, iManage, or similar)
  • Excellent organizational, leadership, and communication skills.
  • Ability to juggle multiple priorities in a boutique, fast-paced environment.
  • Detailed oriented
  • Problem solver and initiative taker
