Commercial Banking Administration Manager

POSITION SUMMARY: Manages Commercial Banking’s Administrative Assistant team. Plays a key role in optimizing processes, driving operational consistency, and enabling the success of commercial banking teams. Oversees the area’s workflow. Provides guidance to the Commercial Banking Administrators ensuring the team operates at best practice levels and in compliance with regulatory requirements and the Bank’s policies. Performs administrative support for assigned Commercial Bankers. Works independently with minimal guidance and sound judgement.

PRINCIPAL RESPONSIBILITIES:

  • Manages the Administrative Assistants focusing on delivering a high level of quality customer service.
  • Oversees the team’s workflows ensuring consistent execution and operational alignment.
  • Acts as the primary liaison between the Administration team and the Loan Servicing team.
  • Acts as a critical link between Commercial Banking Officers and the Bank’s customers. Plays a key role in strengthening customer relationships through timely and effective resolution of loan and deposit issues.
  • Initiates and prepares pre-closing loan documents for Commercial Banking Officers, reviews prepared documents; works closely with Commercial Banking employees, customers, attorneys and vendors.
  • Reviews post-closing documents for accuracy and completeness. Ensures all fees are paid and that all loan input forms and documents are provided to Loan Servicing in a timely manner.
  • Communicates with attorneys concerning payoffs, discharges, or partial releases. Coordinates all documentation when loans are paid off. Reviews other outstanding loans with customers, prepares releases for necessary documentation, and transmittal of packages when discharge of liens is appropriate.
  • Ensures the team’s compliance with all federal and state regulations, and the Bank’s policies and procedures in commercial banking operations, including CRA, HMDA, CIP, and Beneficial Ownership Interests.
  • Recommends, documents and implements processes & procedures enhancing accuracy and efficiencies.
  • Manages, engages, and develops team members, providing mentoring, coaching and training to promote employee engagement, relevant professional development and continual adherence to best practices.

REQUIRED SKILLS: Outstanding organizational, planning and communication skills with excellent attention to detail. Exceptional ability managing workflow and multiple projects effectively prioritizing in a deadline driven environment. Ability to cultivate and maintain positive relationships with a wide audience Skilled in adopting and leveraging technologies to enhance efficiency, communication, and task management. Exercises discretion and maintains confidentiality.

WORK ENVIRONMENT AND PHYSICAL DEMANDS: Work is generally performed in an office environment, with frequent interruptions. Ability to stay in a stationary position, operate a computer, move inside the workplace and exchange information, Notary Public license. This position is eligible for a hybrid work arrangement in accordance with Webster Five’s Remote Work Policy.

MINIMUM EDUCATION: Bachelor’s Degree in Business Administration or equivalent years of experience.

MINIMUM PRIOR EXPERIENCE: 5 years of related experience with supervisory responsibilities.
