Commercial Property Manager & Contracts Specialist
Position Summary
The Commercial Property Management & Contracts Specialist will play a key role in supporting a commercial real estate investment portfolio by reviewing and administering leases and legal agreements, coordinating property-level operations, and assisting with asset management initiatives. This role serves as a bridge between ownership, legal counsel, property managers, tenants, and vendors to ensure contractual compliance, operational efficiency, and value optimization across the portfolio.
Key Responsibilities
Lease & Contract Review and Administration
- Review, analyze, and abstract commercial leases, amendments, estoppels, and related legal documents.
- Track critical lease terms including rent schedules, escalations, reimbursements (CAM, taxes, insurance), renewal options, expirations, and landlord/tenant obligations.
- Coordinate with legal counsel on lease negotiations, contract revisions, compliance matters, and risk mitigation.
- Maintain accurate lease abstracts and contract records in property management and document management systems.
- Assist with due diligence for acquisitions and dispositions, including lease review, tenant documentation, and reporting.
Commercial Property Operations Support
- Support day-to-day operational oversight of commercial assets (office, retail, industrial, or mixed-use).
- Interface with third-party property managers to ensure adherence to leases, budgets, and ownership objectives.
- Review operating reports, budgets, variance explanations, and capital expenditure requests.
- Assist with vendor contracts, service agreements, insurance documentation, and compliance requirements.
- Help coordinate tenant interactions related to lease administration, operating issues, and documentation.
Asset & Investment Support
- Assist ownership with asset management strategies to maximize asset performance and value.
- Support property performance analysis, including rent rolls, expense recoveries, and occupancy metrics.
- Participate in ongoing portfolio reporting and prepare summaries for internal stakeholders.
- Track key deadlines, deliverables, and compliance requirements across the investment portfolio.
- Provide general administrative and analytical support to the investment and operations teams as needed.
Qualifications & Experience Required
- Commercial property management experience (office, retail, industrial, or investment-focused portfolios).
- Strong experience reviewing and interpreting commercial leases and related legal documents.
- Working knowledge of CAM reconciliations, lease structures, and tenant billing.
- Excellent attention to detail and organizational skills.
- Proficiency in Microsoft Excel, Word, and document management systems.
- Strong written and verbal communication skills.
Preferred
- Experience working with a commercial real estate investment group, private equity firm, or family office.
- Familiarity with property management software (e.g., Yardi, MRI, AppFolio, or similar platforms).
- Exposure to acquisitions, dispositions, or portfolio-level reporting.
- Paralegal experience or formal lease abstraction background is a plus.
