As our Communication and Office Administrator, your energetic and organized leadership and approach will keep our office running smoothly and assure effective communication at all levels. In this role, you will handle a wide range of tasks, including coordination of office staff, sending hard copy and/or electronic communications regarding news and upcoming events using multiple formats, managing updates to the church website and informational kiosks, greeting members and visitors, answering phones, managing vendors and ordering supplies, planning and/or supporting church events, organization & archival of church documents, and assisting the pastoral staff and other ministry leaders as needed. Your proactive attitude and self-initiative will help create an efficient, welcoming team environment that empowers our staff and congregation to carry out meaningful ministry to each other, to our community and beyond.
Responsibilities - Communication
- Assures effective communication of the church’s mission and ministry events and initiatives by facilitating the church’s overall communication strategy, including management of logos and graphics, website and kiosk design and content, use of social media and other communication tools, optimizing processes for development and publication of communications and notices, etc.
- Works with church leadership to develop content, publish and/or distribute hard copy or electronic church notifications using communication platforms and tools (website, Facebook, Livestream via YouTube, Constant Contact, etc.).
- Manages design and publication of electronic and print communications and publicity materials for church events and initiatives (logos, posters, bulletins, slideshows, brochures, flyers, stationary, pew cards, etc.).
Responsibilities - Office Administration
- Provides administrative leadership and clerical support to assure efficient operation of the church office, coordinate licensing and inspections of church assets, and assure effective creation, distribution and archival of church documents.
- Serves as the primary office administrator with oversight and/or coordination of all office administration activities – including those conducted by receptionists and volunteers.
- Serves as the primary administrator of office technology and/or provides general support and coordination for software system set-up, updates, usage, training and coordinates repair/replacement with vendors.
- Organizes and maintains hard copy and electronic filing systems for short- and long-term storage of church documents, including those of a confidential and/or sensitive nature.
- Prepares, publicizes, distributes and archives materials for meetings and events as requested by church leadership. This includes preparation of baptism, confirmation, wedding and funeral materials (bulletins, certificates, etc.).
- Maintains office and worship supplies and orders cleaning and maintenance supplies as requested.
- Provides other clerical support such as answering phones, monitoring and responding to e-mails to the main church address, copying and distributing mail and other documents; sending faxes; transcribing, typing, editing, proofing and printing documents and material as requested.
- Assists with church events as requested (planning, scheduling/coordination of vendors and venues, ordering materials, registration, on-site support, etc.).
- Assists Pastoral staff and other staff members with other duties as assigned or deemed necessary.
Requirements
- Committed to complying with the church’s mission, values, policies and procedures while performing duties and representing the church in any capacity.
- Proven experience in office management, administrative support, or clerical roles with a focus on organization and communication skills.
- Demonstrated supervisory experience with the ability to lead teams effectively and maintain strict confidentiality regarding employee and church records.
- Committed to maintaining a safe working environment for office staff and visitors.
- Exceptional communication skills with professional phone and e-mail etiquette.
- Able to confidently multitask in a fast-paced environment while maintaining attention to detail and a focus on overall time management to ensure prioritized deadlines are met.
- Demonstrated ability to keep staff members, church leaders, and congregation members appropriately informed as information is received.
- Able to work independently and also as an effective team member, utilizing independent discretion and judgement to prioritize projects and resources, setting achievable target dates to meet objectives and assignments based on knowledge of church activities, events and key deadlines.
- Proficient in using and training others on established techniques and office procedures, references, materials and equipment. Keeps current with new developments.
- Experience managing vendor relationships including coordination of service agreements.
- Demonstrated proficiency or familiarity with a variety of computer software applications including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Realm, Canva, Publisher, Photoshop and other relevant design, calendar and/or computer software.
Pay: From $23.00 per hour
