The Communication and Engagement Associate (CEA) is a full-time in person position on the “CE” Team which provides administrative and operational support across BINA Farm Center’s programmatic and organizational functions. This role supports the effective delivery of services by ensuring clear communication, accurate data management, Community Center reception area coverage, and adherence to organizational policies and procedures. The CEA supports day-to-day operations while also contributing to development, outreach, and communication efforts, including fundraising activities, events, marketing/PR and community engagement. Responsibilities are assigned based on organizational needs.
Must be able to work one day on the weekend. Therefore the position can be Sunday-Thursday, or any 4 days during the week and Sunday. Or if someone wants to work the entire weekend, then any 3 days during the week. This team of 2-3 people cover for one another so that people can meet their family/children committments if a parent.
Direct report is to the Communications & Engagement Coordinator for outreach, development, donor initiatives, special events, fundraising aspects and marketing and communication related responsibilities. Directs questions related to program and volunteer inquiries to the Program Manager (Asst. Program Manager in their absence).
The CEA role supports front-office and reception coverage during BINA’s operational hours, including evenings and weekends as required for programs and special events. The CE team may cover one another, as approved by the Communications and Engagement Coordinator but may not work over 40 hours per week without written permission from the Executive Director.
· Provide professional, timely, and courteous communication to participants, families, volunteers, and community partners and direct them to the appropriate BINA department after initial contact.
· Maintain a high level of accuracy, confidentiality, and professionalism in all administrative functions
· Support cross-departmental coordination to ensure efficient program delivery
· Adhere to organizational policies, safety standards, and data privacy requirements
· Provide administrative and logistical support for fundraising activities and organizational events
· Assist with outreach efforts, marketing and promotions for community and corporate engagement initiatives (please note; for program and volunteer outreach, details approved by the Program Manager/Asst. Program Manager in their absence)
· Support event preparation and on-site operations for fundraisers, corporate engagement days and special events
· Ensure organizational protocols related to waivers, releases, and documentation are followed for all events
· Responsible for the upkeep of the donor database as directed by the Communication & Engagement Coordinator and in their absence the Finance Director, Development Chair or Executive Director
· Solicitation for auction items, raffles and any other needs for all fundraising efforts
· Represent BINA at a variety of events, networking opportunities, etc.
· Ensure consistent messaging across organizational platforms
o Learn BINA’s branding and marketing criteria
o Ensuring all program departments have cohesive and succinct messaging which uses board approved branding.
· Content preparation for newsletters, website updates, and promotional materials
· Assist with social media platform content creation, calendar and posts as needed
o Instagram, Facebook, LinkedIn, etc.
o Support engagement responses to those on social media platforms
· Assist with administrative supervision of interns if applicable
Questions directed to the Program Manager and Assistant Program Manager in their absence
· Serve as a primary administrative point of contact for participants, volunteers, and families via phone and email until the program department takes over.
· Support participant and volunteer onboarding processes, including documentation collection and data entry, in accordance with organizational procedures
· Maintain accurate and up-to-date participant and volunteer records to ensure compliance with program, safety, and privacy standards
· Utilize organizational systems and databases (including EquiForce, Better Impact, and SharePoint) to enter, update, and monitor program data
Pay: $20.00 - $21.00 per hour
