Communications Manager

JOB PURPOSE

The Communications Manager is responsible for developing and executing a proactive public relations and communications strategy that elevates the visibility, credibility, and influence of the Linda Hall Library. This role leads earned media efforts, supports executive communications, and ensures consistent messaging across internal and external channels.

The Communications Manager identifies compelling institutional narratives, cultivates media relationships at the local, regional, national, and international levels, and supports leadership as spokespersons. The desired outcome is increased brand equity, enhanced public visibility, and strong message alignment with the Library’s strategic priorities.


KEY ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS

Earned Media Strategy & Execution

  • Develop and execute a proactive earned media strategy.
  • Identify and pitch stories related to exhibitions, public programs, research, and institutional initiatives.
  • Build and maintain relationships with local, regional, national, and international media.
  • Draft and distribute press releases, media advisories, and background materials.
  • Track media coverage and measure impact
  • Establish and monitor key performance indicators (KPIs) related to earned media, executive visibility, and communications impact.
  • Analyze media coverage and messaging effectiveness to inform strategic adjustments.

Public Relations & Media Management

  • Draft and distribute press releases, media advisories, and background materials for major initiatives.
  • Serve as a primary liaison for media inquiries, coordinating interviews and responses in partnership with the VP and President.
  • Prepare executives and staff for media appearances by drafting talking points, briefing documents, and Q&A materials.
  • Support the development and refinement of the Library’s overarching public relations narrative.

Executive & Leadership Communications

  • Prepare executives and staff for media appearances, including talking points and briefing documents.
  • Support the President’s communications and social media strategy.
  • Draft speeches, remarks, and strategic messaging materials.

Crisis Communications

  • Support the Library’s Crisis Communications Plan, including preparation of messaging templates, response protocols, and stakeholder communications.
  • Assist in drafting and coordinating timely responses during sensitive or high-risk situations.

Brand & Messaging Stewardship

  • Help strengthen institutional brand equity through consistent messaging across all platforms.
  • Proofread and copy edit content produced by executives and stakeholders to ensure clarity, consistency, and alignment with the Library’s voice.
  • Collaborate with marketing colleagues to ensure earned media efforts complement paid and owned channels.

Marketing & Internal Communications Support

  • Assist the marketing team in drafting copy for marketing materials, including social media posts, email campaigns, web content, and promotional materials.
  • Draft internal communications and staff memos at the direction of the VP of Business Development and Marketing.
  • Partner cross-functionally with Advancement, Programming, Visitor Services, and Research to ensure accurate and strategic messaging.

  • Complete all other duties as assigned to support the overall goals of the Library.

EDUCATION AND EXPERIENCE

Required

  • Bachelor’s degree in Communications, Journalism, Public Relations, Marketing, English or related field.
  • Minimum of 3-5 years of experience in public relations, media relations, corporate communications, or institutional communications.
  • Demonstrated experience securing earned media coverage at local and/or national levels.
  • Strong professional writing experience, including press releases, executive messaging, and media materials.
  • Proficiency with media databases, CRMs, Microsoft Office, and digital publishing tools.

Desirable

  • Experience in nonprofit, academic, research, cultural, or mission-driven organizations.
  • Familiarity with crisis communications planning and response.
  • Experience supporting thought leadership positioning.
  • Experience supporting senior leaders or executives in communications strategy.

TRAVEL REQUIREMENTS

Rarely (0–10%):

  • Attending local, regional, or national conferences.
  • Participating in media visits, speaking engagements, or partner meetings as required.


WORK ENVIRONMENT

This position operates in a traditional office environment with flexibility of up to one remote workday per week. Evening and weekend availability may be required to support events, media opportunities, or urgent communications needs.
