The Managers position requires residency at Bayshore Condominiums. Accordingly, an unfurnished apartment and utilities are provided in addition to salary.
Schedule/Hours: Monday-Friday, Hours may vary based on requirements
Onsite manager is on call after hours to handle emergency situations.
Summary:
The Community Association Manager must have Strong analytical skills; excellent and effective written and oral communication skills; detail oriented; and the ability to multi-task to handle diversified tasks concurrently. This position is responsible for managing and directing all functions of a High-Rise Condominium association (200+ units) to ensure the needs of the property, Board of Directors and homeowners are consistently met. The manager must have the ability to develop and implement improvements to reduce operational costs and guarantee maintenance and project quality.
Qualifications
- Experience: 5-8 years of experience in commercial property management preferred.
- Education: Bachelor’s degree in Business, Finance, Real Estate, or related discipline preferred.
- Certifications: Must be certified and licensed by the State of Florida for Community Association Management (CAM) certification, Notary certification or ability to acquire.
- Financial Expertise: Advanced proficiency in budgeting, forecasting, financial analysis, CAM reconciliations
- Technical Skills: Strong working knowledge of Microsoft Office, with advanced Excel skills preferred. Working knowledge of Intuit Quickbooks.
- Operational Knowledge: Thorough understanding of office and building systems, tenant expectations.
- Leadership: Proven ability to lead employees, manage vendors, and drive performance through accountability, collaboration and conflict resolution.
- Communication: Exceptional written and verbal communication skills, particularly in owner-facing interactions
Duties & Responsibilities:
- Lead procurement, bidding, and negotiation of major service contracts including HVAC, landscaping, and life safety systems.
- Ensure vendors meet service level expectations appropriate for office environments and properties.
- Implement cost-effective solutions while maintaining quality, curb appeal, and tenant experience.
- Provide leadership and direction to employees: office manager along with onsite janitorial and maintenance personnel.
- Establish performance expectations, monitor results, and promote operational excellence across the management team.
- Oversee contractors and specialty vendors, ensuring compliance with contractual obligations and property standards
- Conduct regular property inspections to ensure cleanliness, safety, curb appeal, and compliance with building standards.
- Implement preventative maintenance programs focused on critical building systems, minimizing downtime and obsolescence.
- Ensure properties comply with local codes, knowledge and understanding of high-rise condo life and safety equipment requirements.
- Lead emergency response planning and execution for building and property, including coordination with first responders and vendors.
- Manage the day to day operations of the community including but not limited to maintenance service requests, respond to homeowner questions and concerns, and ensure compliance with the Condominium Owner’s Association documents and Florida Statutes.
- Perform regular onsite community inspections. Identify violations and notify homeowners through approved processes. Ensure follow up to resolution of issues.
- Prepare Board meeting notices, attend Board meetings and work with Board to ensure smooth monthly meetings.
- Maintain compliance for the Condominium Owner’s Association with documents and By-Laws, as well as, Florida Statutes for the community.
- Maintain accurate records and files for the vendors, accounts payable and homeowners.
- Supervise staff to maintain mechanical and structural maintenance of property.
- Oversee the office filing system, accounting and record keeping along with maintaining a purchase order system.
- Review current vendor contracts and engage new vendors when necessary.
- Contact vendors for repairs, follow up on service calls and process invoices. Handle correspondence with vendors regarding payments and discrepancies.
- Partner with Board of Directors for compliance with Condominium Owner’s Association documents, ensure expectations are met and assist in prompt response and resolution to questions and problems of homeowners. Establish and maintain a positive relationship with homeowners and Board of Directors to ensure a high level of service and achievement of goals and objectives.
Pay: $55,000.00 - $68,000.00 per year
