Position Overview
We are seeking a professional, enthusiastic, and customer-focused individual to serve as the first point of contact for our community. This role plays a key part in delivering the spirit of The Meadows by providing a welcoming experience to residents, visitors, and vendors.

Key Responsibilities
Front Desk & Customer Service
- Greet visitors and residents warmly; assess needs and direct them appropriately
- Answer and manage a multi-line phone system with professionalism
- Respond to inquiries with accurate information and a positive attitude
- Provide forms, applications, and general community information
Office Operations
- Open and close the office daily
- Maintain a clean, organized, and professional reception area
- Monitor and restock office and restroom supplies
- Order and track office supplies and maintain inventory
Mail & Administrative Support
- Process incoming and outgoing mail, including date stamping and distribution
- Assist with bulk mailings and office correspondence
- File, organize, and maintain accurate records and documents
- Provide general administrative support
Records & Program Management
- Maintain and update:
- New Homeowner Packets
- Dog Park Registrations
- Golf Cart Registrations
- Distribute Renaissance Access Cards
- Track Certificates of Insurance and Workers’ Compensation
- Meadoword Subscriptions
- All Board & Committee Meeting Binders
Financial & Clerical Tasks
- Collect and process payments; issue receipts
- Coordinate routing of cash and checks
- Assist with data entry, reports, and document preparation
- Organize all files in the file room
Additional Duties
- Send/receive faxes and manage office equipment
- Assist with special projects and tasks as assigned
- Attend meetings and training sessions as required
Qualifications
Education
- High School Diploma required (additional education is a plus)
Skills & Abilities
- Strong verbal and written communication skills
- Excellent customer service and interpersonal skills
- Ability to multitask while maintaining a positive attitude
- Strong organizational and problem-solving abilities
- Attention to detail and accuracy
Technical Skills
- Proficiency in Microsoft Office (Outlook, Word, Excel)
- Familiarity with standard office equipment (copiers, printers, fax machines)
Experience
- Previous experience in community associations as a receptionist, administrative assistant, or similar role preferred
- Experience with Office 365 is a must

Pay: $18.00 - $20.00 per hour
