Position Overview

Reporting to the Community Distribution Manager, the Community Distribution Coordinator facilitates Central Texas Food Bank’s Mobile Pantry distributions, which directly serve community members in need across CTFB’s 21-county territory. Reporting to the Community Distribution Manager, this position is highly visible in the community and is critically important in maintaining partnerships across our territory. This position requires manual labor as well as the ability to use technology to collect and secure sensitive information in the field. This position spends most of the time in the field at Mobile Pantry distribution sites and traveling to/from distributions. This position maintains positive relationships and communication with colleagues, volunteers, neighbors, and program partners. This position works independently and must be dependable to represent the food bank in the community.

Your Responsibilities

· Portfolio Coordination – You will be responsible for distribution sites within a given portfolio. Duties include data collection and monthly electronic reporting, as well as strengthening relationships with site leads and invested community partners. Representing CTFB, you will identify prospective groups for formal partnership and volunteer opportunities; including outreach to local organizations, businesses, etc. where sites are located.

· Neighbor Assistance –In this role you will provide direct assistance to neighbors of varying backgrounds. You will conduct client intake and data entry in the field, implement client feedback systems, and ensure the security and confidentiality of client records. You will be adaptable to better assist people of diverse populations.

· Event Coordination – This position oversees the successful execution of mobile distributions within the assigned portfolio. This will include, but is not limited to, site layout, food set up and distribution, parking and traffic guidance, neighbor intake collection, safety planning, contingency planning, and more.

· Volunteer Coordination – Creating a welcoming, positive, and safe environment for volunteers is key to a successful distribution. In this role, you will provide orientation before each distribution. You will train and supervise the volunteers, modeling a client-centered, compassionate, non-judgmental approach. You will ensure our volunteers adhere to all applicable compliance standards.

· Data Collection & Entry – This position collects sensitive neighbor information in the field, often under difficult circumstances (example: inclement weather or time restrictions). Using a company issued tablet and/or smartphone, you will collect, record, and transmit data, as well as upload all data into CTFB systems within a given timeframe and in accordance with government requirements. You will also maintain training documents to reflect current CTFB data and compliance with all Distribution policies, and re-train existing, or onboard new, site leads, and program partners as needed. Assist in the preparation of reports, data gathering, and completion of goals, metrics, and deadlines.

· Additional Responsibilities - Manage special projects within the Community Distribution team as necessary, including major distribution events, pilot programs, and other community requests. Support the work of disaster or emergency response related projects by helping promote, coordinate logistics, and more. Commit to supporting CTFB’s mission, vision, values, and culture. Perform additional duties as necessary and/or requested including utilizing language skills you possess for those we serve and the organization.

Working Conditions

  • Hours of Operation: This position operates Tuesday through Saturday. Shift times might be as early as 5:30AM and can end as late as 6:00PM (8-hour shifts). After-hours work is required occasionally throughout the year, especially during peak times (November) and disaster relief. PTO is not approved during peak times.
  • Environment: This position works in the field and office setting. Conditions include working inside, working outside in various weather conditions such as extreme heat, cold or rain, working around machines with moving parts and moving objects, working closely with others, working alone, working protracted or irregular hours, and traveling by car, van, bus, truck, and airplane .
  • Travel: CTFB serves 21-counties in Central Texas, and this role requires same-day travel between counties, using a CTFB passenger fleet and your personal vehicle, depending on occasional out-of-town travel for special events or meetings for some positions.
  • Physical Conditions: This position requires the ability to lift 5 to 50 pounds, stand and walk for up to 4 hours at a time, bend over, and be adaptable for the needs of the distribution.

Your Qualifications

· High School Degree required, bachelor’s degree preferred.

· English required, Spanish required.

· 3 years’ work experience in a full-time wage-earning role.

· Reliable transportation to work daily (to include early morning hours).

· Experience providing superior customer service with a focus on relationship management in a service delivery setting.

· Strong ability to multitask several things at once, often under evolving environmental conditions (inclement weather, for example), prioritizing and delegating tasks to successfully complete a distribution.

· Strong leadership skills to effectively steer a distribution to success. This position requires the coordinator to be patient, thoughtful, calm, and decisive.

· Value equity as an organizational operating principle and are committed to continued learning on issues related to diversity, equity, and inclusion.

· Ability to adapt communication styles to meet the needs of the audience and cultural context, while proactively identifying and overcoming breakdowns in communication

· Flexibility in response to change, adapting quickly to shifting priorities while staying focused on solving problems with creative solutions.

· Ability to interact effectively in the community and at multiple levels within organizations, especially those serving culturally and economically diverse communities.

· Good judgment and discretion; strong ethical character capable of handling confidential information.

· Experience with food distribution programs and/or other program development and implementation preferred.

· Experience and confidence with technology, notably in the field under varying circumstances. Experience with Microsoft 365 (Outlook, Excel, SharePoint, & Teams).

· Experience with Customer Relationship Management (CRM) systems, especially Salesforce preferred.

· Knowledge of racial justice, social equity, and systemic racism; sensitivity to issues and concerns of communities of color and other diverse groups.

· Belief in CTFB’s mission, vision, values, and culture. Display a commitment to service above all else.
