Title: Community Engagement Coordinator

Status: Exempt / Full-time (40 hours per week)

Schedule: M-F flexible with frequent evenings and weekends

Reports to: Community Engagement Manager

Location: Based in New Braunfels, TX or San Marcos, TX. Frequent travel within the Central Texas area utilizing your privately-owned vehicle (mileage reimbursed).

CASA of Central Texas (Court Appointed Special Advocates) provides high quality best interest advocacy for children and youth in the child welfare system. We train and empower community volunteers to ensure children’s needs are met and their voices lifted. We commit to strengthening the connections and well-being of children in foster care, one family at a time. CASA of Central Texas is a 501(c)(3) non-profit organization in operation since 1985. In 2025, we served 379 children (about 75% of children in care) with 226 volunteers in Caldwell, Comal, Guadalupe and Hays Counties.

JOB SUMMARY:

The Community Engagement Coordinator is a key role on our engagement team as it contributes to strengthening the agency’s community partnerships and mission awareness. This role interfaces directly with the community at-large through a variety of channels to build a pipeline of prospective volunteers who are interested in serving as advocates for children and youth. The CEC contributes to and executes the volunteer recruitment plans. Following varied recruitment practices, the CEC cultivates interpersonal relationships to inspire action and maximize engagement toward becoming a Court Appointed Special Advocate volunteer.

This position works closely with executives and staff, requiring cross-departmental collaboration. To succeed in this position, you should be a highly personable multi-tasker with public speaking experience and event coordination know-how. Exceptional communication, computer, organizational, and problem-solving skills are essential. The ideal candidate will exercise independent judgement and discretion; be a professional and motivated contributor to volunteer recruitment, administration, communications, and relationship building; have a passion to share the CASA mission; and enjoy both behind-the-scenes work and public relations.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree in communications, public relations, or related field.
  • 1-year relevant work experience in recruitment, community outreach, donor relations, or social work.
  • Experience and ability to deliver professional, polished events and presentations.
  • Strong networking and relationship building skills; experience connecting with diverse groups.
  • Proactive ability to organize and prioritize quickly; strong time management skills with the ability to manage multiple assignments and deadlines.

· Perform independently with some supervision while at the same time working effectively a team member.

· Bi-lingual in Spanish preferred.

· Experience with fundraising campaigns and donor database applications such as Classy and GiveButter, preferred.Experience working in a non-profit organization and/or with volunteers is preferred.

  • Expected to complete CASA training within three months of hire or have attended training within the last three years.

ESSENTIAL JOB FUNCTIONS & STANDARDS:

Outreach and Recruitment:

  • Build lasting community partnerships and grow CASA’s volunteer pool; evaluate and execute recruitment strategies and a volunteer recruitment strategic plan.
  • Strategically recruit for and implement a Community Outreach Team; deliver key talking points and support materials as agreed upon with the Community Engagement Manager and communications department.
  • Increase public awareness and represent CASA as a public speaker and organizational ambassador; attend and deliver speaking opportunities throughout our four-county region to local community groups and organizations; network, build, and maintain relationships with larger community partner agencies and underrepresented community leaders as collaborative partnerships.
  • Improve volunteer pool; analyze data to help identify needs for community engagement around specific goals, particularly the representation of the children and families served; collaborate and participate in community activities, festivals, holidays, etc.
  • Be aware of the unique volunteer and funding needs of CASA; be diligent in funneling prospective donors to the Community Engagement Manager.

· Fully utilize available technology to meet data analysis and planning needs related to volunteer demographics, community demographics, and community engagement.

· Communicate updates and collaborate with Communications department to increase community engagement by contributing new content for our toolkits, website and social media, building brand awareness, differentiating CASA of Central Texas, and recruiting volunteers.

· Be responsive to and assist with the general volunteer/non-advocate management process.

  • Coordinate with Training staff to ensure prospective volunteer data is accurately recorded in our program database and volunteer recruitment goals are met.

Event Planning and Coordination:

  • Coordinate all details related to recruitment events, including submission of applications to community events, tracking and updating status, all event preparation, scheduling volunteers for community awareness and recruitment events, and event follow-up.

· Maintain a calendar of community outreach events and ensure that key deadlines are met and that volunteer recruitment is maximized.

  • Maintain inventory of all promotional materials.
  • Assist in planning and coordinating volunteer retention events.

Donor Stewardship and Fundraising:

  • Engage across the Development, Engagement, Casework, and Administration departments to ensure the seamless coordination of logistics and stakeholder management; Under guidance of the CEO, liaise with the Board of Directors.
  • Coordinate with internal Communications staff to identify and ensure appropriate levels of publicity on our fundraising and philanthropic activities.
  • Participate in team meetings to support campaigns, grants, signature events, third-party events, and other donor cultivation and donor appreciation efforts of your peers.
  • Coordinate with internal staff to ensure existing and prospective sponsor, funder and donor data is accurately recorded in the donor, communications, and other databases.
  • Identify and establish standard procedures; Create project manuals and process outlines; Solve problems when there is little guidance from established practice or precedent.
  • Train other staff and supervise volunteers to help them understand their roles and responsibilities and develop them to take on individual and group leadership roles.

· Explore and pursue new funding opportunities and development strategies from a broad range of sources to preserve a level of giving excitement and discourage giving fatigue.

· Participate in the evaluation of campaign performance through participant feedback, pre and post data analysis, and debrief meetings to inform future planning and improvements.

· Conceive, design, and create engaging content and materials, and implement administrative processes and programs for donor acknowledgment, donor recognition, and donor re-engagement.

· Foster relationships with prospective and existing donors by offering support and answering inquiries.

· Be strategic and compassionate in following up and engaging people to provide fulfillment and personal satisfaction for those interested in supporting the CASA mission.

· Manage the donor database including its infrastructure, protocols, data entry systems, gift processing, and reconciliation.

Other:

· In accordance with team philosophy, complete special projects and tasks as requested by the Director of Engagement and the Chief Executive Officer; perform other duties as situations warrant; the above list is illustrative of tasks and responsibilities and is not meant to be all-inclusive nor is it intended to substitute for the exercise of good judgment and initiative.

  • Maintain confidentiality of CASA clients, volunteers, staff and donors; protect confidentiality by being aware of information in the workspace and of persons who can hear confidential conversations; utilize locking enclosures for paper and electronic information; immediately report known or suspected breaches to the CEO.
  • Complete a minimum of 12 hours of annual self-development training.
  • Participate in fundraising initiatives, projects and events, as requested; periodically attend advocate trainings, advocate recognition events and court hearings to remain connected with our mission.
  • Attend conferences and workshops, meetings and events as requested, and as an appropriate and professional representative of the organization.
  • Demonstrate and champion alignment with CASA vision, mission, and values in daily work.
  • Travel to/from CASA offices located in New Braunfels and San Marcos; travel in 4-county service area; and occasional travel to other locations.

Knowledge, Skills, and Abilities:

· Proficiency in MS Office (Word, Excel, Outlook, PowerPoint, Teams), project management database (Airtable), and Canva. Knowledge of effective utilization of audio-visual equipment preferred. Very strong process management and project management. Clerical skills with attention to detail and accuracy. Excellent people skills with the ability to partner with a dynamic leadership team. Strong interpersonal, written and verbal communication skills. Patient and adaptable approach, working with cross-disciplinary teams in a collaborative style; efficiently problem solve with others. Comfort with tasks ranging from daily routine to specialized. Ability to be flexible and manage multiple directions. Ability to work independently, be goal-oriented with initiative, and handle multiple priorities, task and deadlines. Ability to work in sensitive situations, with sensitive information, and maintain confidentiality.

Work Environment and Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer. Prolonged periods of standing and walking. Reach with hands and arms. Stand, walk, sit; climb and descend stairs; use hands to finger, grasp, handle, feel or operate objects, tools or controls. Walk and stand for long periods of time at community functions. Speak, hear and read both in quiet, small, private settings as well as loud, large, public settings. In-office and out-of-office public contact with people. Occasionally required to kneel, bend and crouch. Occasionally lift and move up to 50 pounds. Specific vision abilities include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus. Subject to the usual interruptions associated with providing friendly service and performing multiple duties; respond courteously and professionally; operate typical business office equipment; duties normally provided in surroundings where undesirable physical conditions and hazards are minor and controllable.
  • Frequently and regularly required to attend off-site functions and will be required to provide own transportation (mileage reimbursed).

Pay: $40,000.00 - $44,000.00 per year
