Responsibilities:
Gwynedd Mercy University is seeking a detail-oriented and highly organized individual to serve as the Compliance and Administrative Assistant for the Second Degree Nursing Programs, including the Accelerated BSN (ABSN), Weekend BSN (WBSN), and Direct Entry MSN (DEMSN). This role is essential in maintaining State Board of Nursing and accreditation compliance by collecting, managing, and tracking student and faculty compliance data, supporting clinical placement readiness, and ensuring accurate documentation for regulatory reporting.
In addition to compliance functions, the position provides administrative support to program leadership, faculty, and students, helping to ensure smooth day-to-day operations within the College. The individual will work closely with the Clinical Coordinator, Prelicensure BSN Program Director, Associate Dean, and Dean of the Frances M. Maguire College of Nursing and Health Professions. The successful candidate will demonstrate strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced academic environment.
Essential Responsibilities include, but are not limited to:
- Compliance Responsibilities:
- Collect and maintain required compliance data (local, state, accreditation) for students and faculty in a comprehensive database.
- Monitor and update the compliance database (e.g., American Databank/Complio) for students and clinical educators.
- Ensure all documentation, reporting, and clinical activity align with University, local, state, and national accrediting agencies' standards and policies.
- Retrieve and Maintain data from repositories such as American Databank/Complio and Canvas.
- Communicate regularly with students and faculty regarding compliance requirements and program information.
- Collect, complete, and submit clearance attestations and compliance documentation to clinical agencies as required.
- Assist students and new clinical adjuncts with Complio accounts setup and troubleshooting.
- Review student clearances, send reminders for expiring items, approve items/exceptions, and assign new students to user groups in Complio.
- Support the Clinical Coordinator in initiating and maintaining agency contracts.
- Collaborates with the Clinical Coordinator to:
- Maintain updated enrollment lists of ABSN, WBSN and DEMSN students.
- Provide faculty and students with essential information regarding clinical agencies policies, contacts, site requirements, and parking/demographic details.
- Review compliance terms in contracts and affiliation agreements for accuracy
- .Update compliance records for full-time and adjunct nursing faculty.
- Assist with Clinical Adjunct Assignment Sheets and submit documentation to Academic Affairs.
- Create and process adjunct faculty contracts through AdobeSign and track completion through payroll.
- Collect and document clinical makeup fees and submit payments to the Financial Office.
- Assist in planning and implementing clinical orientation meetings for faculty and students.
- Serve as a resource for faculty and students.
- Support the Associate Dean by preparing State Board of Nursing submissions, including PALS updates of new clinical sites and adjunct faculty, Graduate NEV, and annual report materials.
- Maintain all accreditation and state board compliance documentation, in collaboration with Associate Dean.
- Administrative Focus:
- Provide administrative support to ABSN and WBSN Program Director, faculty and students, including:
- Assisting students with inquiries, scheduling, and general concerns.
- Managing and safeguarding confidential student records.
- Preparing and distributing IDEA forms each semester.
- Support daily office operations and general administrative activities for the programs.
- Perform additional duties as assigned by the Dean.
Qualifications:
- Previous experience in compliance, healthcare, or higher education strongly preferred.
- Proficiency in data management and computer software, including the Microsoft Office Suite (Word, Excel, PowerPoint).
- Ability to understand and interpret healthcare clearance requirements (e.g., immunization records, physical examinations).
- Strong organizational skills with high attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask, prioritize responsibilities, and meet deadlines.
- Demonstrated ability to maintain confidentiality and handle sensitive information.
- Previous administrative or office support experience required.
- Bachelor’s degree preferred.
