Compliance and Client Access Manager

The Compliance and Client Access Manager coordinates quality improvement initiatives and regular quality and compliance monitoring. They manage, develop, coordinate, and support systems improvements to promote the highest level of compliance and quality at Washburn Center for Children. Additionally, they strengthen operational effectiveness by providing the training and support across multiple departments.


This position requires full-time onsite presence for the first 90 days. Following successful completion of training and a satisfactory performance review, the role may offer the flexibility to work remotely up to two days per week.


Responsibilities


Clinical Quality
  • Complete weekly and monthly quality assurance reports
  • Assist in Quality Assurance projects as needed
  • Attend Quality Assurance Team Meetings
  • Manage Incident and Grievance logs and work with compliance team to manage process and next steps
  • Help manage compliance with licensing, waivers, uniform standards, etc. by ensuring QA reports are tracking, forms are updated, identify training needs, update policy and statues as needed

Data Privacy and Compliance
  • Monitor updates to HIPAA, MN State Statutes, and other data privacy requirements
  • Provide communication, review/update policies and procedures, and manage training materials related to data privacy
  • Manage the agency’s incoming HIPAA breach reports
  • Lead Data Privacy Trainings – in person and in the LMS
  • Assist in agency preparation for audits and site visit
  • Agency policy review and updates
  • Manage forms, translation of forms, SharePoint for all things compliance
  • Complete compliance projects as assigned

SharePoint/Process Improvement
  • Help manage current SharePoint processes and assist with other process improvement projects and training materials under Associate Director of Compliance and Client Access programs (Psychiatry, Medical Records, EHR, Compliance, Policies and Procedures)
  • Provide consultation/assistance to other programs who are implementing SharePoint projects with coordination from Core Team and/or the Communications Team

Teamwork and Cooperation
The Compliance and Client Access Manager is expected to participate in and contribute to other Agency teams and meetings as needed:
  • Participate in required internal meetings related to job duties
  • Participate in external meetings with the county, state, or health plans as needed
  • Meet regularly with the Associate Director of Compliance and Client Access
  • Build relationships and engaging within the Washburn community

  • Minimum of 3–5 years of experience in healthcare, behavioral health, or human services settings with a focus on compliance, quality improvement, or clinical operations
  • Demonstrated experience working with quality assurance processes, audits, and regulatory compliance
  • Working knowledge of HIPAA, Minnesota Data Privacy laws, and applicable state and federal healthcare regulations
  • Experience supporting licensing, audits and site visits
  • Experience managing incident reporting, grievances, and breach reporting processes
  • Ability to interpret statutes, regulations, and standards and translate them into operational practices
  • Experience coordinating or leading quality assurance / quality improvement initiatives
  • Ability to track, analyze, and report on QA data and compliance trends
  • Experience developing or maintaining QA tools, reports, and monitoring systems
  • Demonstrated ability to implement workflows and procedures that support quality assurance, compliance and operational efficiency
  • Experience onboarding and training new administrative staff, including development of training materials
  • Ability to coordinate with supervisors, leadership and cross-functional teams to align with workflows and organizational policies
  • Demonstrated ability to serve as a subject matter resource for administrative processes, supporting staff questions and reinforcing best practices
