Position: Condominium and HOA Manager

Status:
Full Time

Hours:
8:00am-4:30pm with various times for Condo Association Meetings (usually evenings)

Position Summary:
This position involves managing property maintenance, enforcing community rules, managing resident concerns, and overseeing the financial aspects of the property. The manager acts as a liaison between residents, the HOA board, and service providers, ensuring the community is well maintained and that residents’ needs are effectively addressed.

Responsibilities:
Assist all staff members as needed.
Report to supervisory personnel as requested.
Day-to-day issues and emails.
Handle owner calls re: maintenance and /or other problems.
Refer to condo association documents for clarification when needed.
Be familiar with WI Condo Law.
Monitor changes with Condominium Law and New Developments.
Maintain current copies of condo documents and insurance declaration information.
Monitor financial reports after accounting has processed the monthly financials statements.
Keeping an up-to-date list of owners and contact information.
Prepare welcome packages for new owners.
Preparation of documents as required by banks and title companies.
Prepare and distribute periodic newsletters.
Meet with vendors to obtain quotes for routine services and maintenance.
Obtain bids for projects that may from time to time be required.
Monthly site inspections to spot issues and/or make suggestions meeting
Review property invoices and handle delinquencies.
Manage any emergency repairs and/or problems as they arise.
Schedule and attend board meetings.
Conduct directives given by the Board of Directors.
Establish long- and short-term goals with Directors.
24/7 Availability to owners and Directors.
Meet with committees and provide input (Grounds, By-Laws, Rules)
Oversee and manage any projects with that approved by the Board.
Prepare work orders and handyperson requests, follow up with owner.
Collaborate with attorneys on an as needed basis for collections or other litigation issues.
Bid insurance renewals as directed by the board.
Oversee any other requests as directed by the board or unit owners.
Meetings agendas & minutes.
Proposals obtained for board review.
Oversee pool operations.

Qualifications:
2 years as a condominium property manager (preferred)
Bachelor’s degree in business (preferred)
Real estate/condominium designations (preferred)
Experience with a property management software program (preferred)
Proper phone etiquette.
Customer service.
Ability to manage confidential information.
Communication with team members.
Positive attitude.
Willingness to adapt to the needs of the company.
Demonstrate timeliness when working on projects and tasks.
Eager to help in a team environment.

Technical Requirements:
Ability to use a computer, tablet, and smartphone.
Knowledge of Microsoft Office Suite.

Physical Requirements:
Sitting for extended periods.
Repetitive hands movements from frequent use of keyboard and mouse.

Background check Requirements:
Must pass a criminal background check.
Must have a clean driving record.
