The Engineering Department is seeking a highly organized and trustworthy Confidential Secretary to support department leadership. This role involves handling sensitive information, managing private communications, and performing high-level administrative and clerical duties for the Engineering Department. The ideal candidate will demonstrate discretion, professionalism, and the ability to manage multiple responsibilities in a fast-paced environment.

Key Qualifications

  • Proven ability to handle sensitive and confidential information with discretion and integrity
  • Strong written and verbal communication skills
  • Excellent organizational and time-management abilities
  • High level of attention to detail and accuracy
  • Ability to multitask and work effectively under pressure while maintaining confidentiality
  • Experience coordinating with Department Heads, staff, and Elected Officials
  • Thorough knowledge of general office procedures and administrative practices

Core Responsibilities

  • Manage and maintain supervisors’ schedules, including coordinating and scheduling meetings
  • Prepare meeting agendas and record accurate meeting minutes
  • Prepare, process and track invoices and requisitions
  • Provide routine information to the public and staff via phone, email, or in person
  • Receive, log, file, and maintain various departmental records and documents
  • Prepare correspondence, reports, and other official documents
  • Ensure timely and accurate completion of assigned administrative tasks
  • Technical Skills
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Experience with accounting software (e.g., Edmunds)
  • Familiarity with payroll and attendance systems (e.g., ADP)

Requirements:

Education: High School diploma or GED

Experience: 5+ years of experience with similar work
