This is a competitive Civil Service position; therefore, the successful candidate must currently hold the Monroe County Civil Service title, Office Clerk II, be reachable on the eligibility list for this title, or meet the eligibility criteria to be appointed temporarily and sit for the exam when next offered
HOURS:
Monday Friday
8:00-4:30 (1hr. unpaid lunch)
(8:00-3:00 during school breaks/summer)
SALARY:
$23.75/hour minimum starting (12 month position/1860 hours, annualized salary is $44,175.00 minimum)

Assistant Superintendent for Human Resources
DESCRIPTION OF DUTIES:
The Secretary to the Assistant Superintendent for Human Resources provides high-level confidential administrative and clerical support to the Human Resources Office. This position requires excellent organizational, communication, and interpersonal skills, as well as the ability to maintain strict confidentiality regarding personnel matters and district operations. Does other related work as required.

PERFORMANCE RESPONSIBILITIES:

Provides comprehensive administrative support to the Assistant Superintendent for Human Resources, including but not limited to composing, preparing, proofreading, and distributing correspondence, reports, agendas, contracts, personnel documents, and collective bargainingrelated materials with accuracy and confidentiality.

Coordinates schedules, appointments, meetings, interviews, professional development activities, and communications for the Human Resources Office while responding to inquiries from employees, applicants, administrators, and the public with professionalism and courtesy.

Organizes, maintains, and updates confidential employee records, personnel files, HR databases, seniority lists, certification records, leave records, tenure information, staff placement data, and other personnel-related documentation in compliance with district policies and applicable laws and regulations.

Supports recruitment, hiring, and onboarding activities by posting vacancies, communicating with candidates, scheduling interviews, preparing employment paperwork, maintaining eligibility lists, and reviewing contracts and benefits information with newly hired administrators and teaching staff.

Maintains list of candidates for permanent and long-term substitute teacher openings.

Collaborates with the Payroll Office regarding salary changes, insurance and benefits enrollment, flexible spending account information, annual salary coordination, and other personnel-related payroll matters.

Maintains individual teacher records relative to graduate courses and in-service hours and makes appropriate salary changes through the Payroll Office.

Prepares and maintains seniority lists for teachers and administrators.

Prepares Board of Education personnel agenda items, staff change recommendations, supporting documentation, and related correspondence for monthly meetings.

Assists with district reporting and compliance activities, personnel surveys, substitute staffing coordination, employee absence tracking, and adherence to federal, state, and local employment regulations.

Monitors office supplies, maintains efficient office operations, and distributes district personnel forms.

Performs other duties as assigned by the Assistant Superintendent for Human Resources.
EVALUATION:

Performance in this position will be evaluated by the Assistant Superintendent for Human Resources.
QUALIFICATIONS:
Graduation from high school or possession of a high school equivalency diploma, plus EITHER:
-
Three (3) years of full-time, part-time or volunteer equivalent office clerical experience; OR,
-
Graduation from a regionally accredited, or New York State registered, college or university with an Associate's degree in Secretarial Science; plus one (1) year of office clerical experience; OR,
Any equivalent combination of training and experience as described above sufficient to indicate ability to do the work.
