Duties

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette
  • Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly
  • Maintain organized filing systems for project documents, contracts, and correspondence
  • Support bookkeeping activities using QuickBooks, including invoicing, expense tracking, and financial record keeping
  • Assist with calendar management and scheduling for project meetings, site visits, and client appointments
  • Enter data accurately into spreadsheets and project management software; perform regular data entry tasks
  • Proofread and review documents for accuracy before distribution; ensure all correspondence is clear and professional
  • Provide excellent customer support by addressing inquiries courteously and efficiently both via phone or email

Requirements

  • Proven office management or administrative experience in a fast-paced environment, preferably within construction or related fields
  • Strong computer literacy with proficiency in BUILDERTREND
  • Experience with bookkeeping software such as QuickBooks is highly desirable
  • Excellent organizational skills with the ability to prioritize tasks effectively and manage time efficiently
  • Bilingual abilities are a plus to assist diverse clients and team members
  • Exceptional phone etiquette skills with experience managing multi-line phone systems
  • Attention to detail in proofreading documents and maintaining accurate records
  • Personal assistant or office support experience demonstrating reliability and professionalism
  • Familiarity with clerical tasks such as filing, data entry, calendar management, and document proofreading

Pay: $14.00 - $25.00 per hour
