Responsibilities
- Manage front desk duties, greeting visitors and directing them appropriately with professionalism and courtesy
- Operate multi-line phone systems, answer inquiries promptly, and route calls effectively using excellent phone etiquette
- Maintain organized filing systems for project documents, contracts, permits, and correspondence
- Perform data entry and bookkeeping tasks using QuickBooks and other office software to track expenses and invoices
- Schedule meetings, coordinate calendars for project teams, and manage appointment reminders with strong time management skills
- Support office management activities including supply ordering, inventory tracking, and maintaining office equipment
- Proofread documents for accuracy and clarity before distribution to ensure high-quality communication
- Assist with customer support by responding to inquiries via email or phone, providing timely information and follow-up
Experience
- Previous office experience in construction or related industries is highly preferred
- Demonstrated clerical or administrative experience with proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with bookkeeping software such as QuickBooks for managing invoices and financial records
- Strong organizational skills with the ability to prioritize tasks efficiently in a busy environment
- Bilingual abilities are a plus to effectively communicate with diverse clients and team members
- Excellent typing speed combined with attention to detail for accurate data entry and proofreading
- Experience handling multi-line phone systems, managing calendars, and providing exceptional customer service
- Personal assistant or office management experience that showcases your ability to multitask confidently in a professional setting
