About the Role

We are looking for a resourceful, detail-oriented Construction Administrative Assistant to support our leadership team and help keep our construction operations running smoothly. This is a hands-on, varied role perfect for someone who is highly organized, proactive, and comfortable juggling both office tasks and field-related responsibilities. No two days will look the same.

Key Responsibilities

Administrative and Executive Support:

  • Manage calendars, scheduling, and correspondence for leadership
  • Prepare documents, reports, and presentations as needed
  • Print and organize signage, marketing materials, and job site documents
  • Maintain organized filing systems, both digital and physical
  • Handle a variety of operational tasks as directed by leadership

Construction Operations Support:

  • Follow up with vendors, subcontractors, and suppliers on outstanding items
  • Coordinate and track inspections, ensuring nothing falls through the cracks
  • Manage warranty coordination and maintain warranty records
  • Communicate with Centerpoint Energy and manage utility account setup, transfers, and service requests
  • Track and manage utility accounts across multiple properties and job sites
  • Assist with permit tracking and project documentation
  • Conduct occasional site visits in the greater Houston area as needed

Qualifications

  • 3 to 5 years of experience in an administrative, construction, or operations support role
  • Prior experience in the construction or real estate industry strongly preferred
  • Comfortable making calls and following up persistently with vendors, utilities, and inspectors
  • Proficient in Microsoft Office Suite
  • Familiarity with construction management software such as Procore or Buildertrend is a plus
  • Bilingual in English and Spanish is a plus
  • Exceptionally organized with strong attention to detail
  • Strong written and verbal communication skills
  • Self-starter who can manage multiple priorities with minimal supervision
  • Valid driver’s license and reliable transportation for occasional site visits
