Construction Administrative Assistant

Join our dynamic construction team as a Construction Administrative Assistant, where your organizational skills and proactive attitude will keep our projects running smoothly and efficiently. In this vital role, you will serve as the backbone of our administrative operations, ensuring seamless communication, accurate record-keeping, and exceptional support for our project managers and field teams. Your energy and attention to detail will contribute directly to the success of our construction projects, fostering a productive and positive work environment.

Duties

  • Manage responsibilities, contacting clientss and directing them appropriately with professional phone etiquette.
  • Maintain organized filing systems for project documents, contracts, permits, and correspondence to ensure quick retrieval.
  • Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and bill payments.
  • Assist with data entry and document proofreading to ensure accuracy in reports, proposals, and project documentation.
  • Coordinate calendar management for project meetings, site visits, and deadlines using Google Workspace or Microsoft Office tools.
  • Provide excellent customer support by addressing inquiries from clients, vendors, and team members with professionalism and efficiency.

Requirements

  • Proven office management experience in a construction or related environment with strong clerical skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
  • Familiarity with QuickBooks or other bookkeeping software is highly desirable.
  • Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting.
  • Strong typing skills along with meticulous proofreading abilities to ensure error-free documents.
  • Bilingual abilities are a plus to assist diverse teams and client bases.
  • Previous experience handling multi-line phone systems and front desk operations is preferred.
  • Demonstrated knowledge of office procedures including filing, data entry, calendar management, and customer service excellence.
