Job Summary
We are seeking a professional, detail-oriented and organized Construction Administrative Assistant to join our team. This role provides essential administrative support to ensure smooth daily operations within our construction projects. The ideal candidate will excel in managing office tasks, coordinating communications, and supporting our team with professionalism and efficiency. Your proactive approach and attention to detail will help keep our projects on track and foster a productive work environment.
Responsibilities
- Manage front desk duties, greeting visitors and callers with professionalism.
- Perform data entry, filing, scanning, copying, and document management
- Maintain and organize physical and electronic filing systems
- File and manage NTOs
- Coordinate with GCs and vendors to manage lien releases
- Maintain accurate employee personnel files and onboarding paperwork
- Assist with accounts payable and accounts receivable functions
- Assist with pay apps, collections, and payments
- Assist with payroll processing, timesheet collection, and employee records maintenance
- Manage and maintain OSHA logs and other safety related documents
- Support office manager with administrative and bookkeeping tasks
Skills
- Experience working in a construction, contracting, or trade-related office environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Proficiency with Adobe Acrobat and PDF document management.
- Experience with QuickBooks is a plus.
- Familiarity with construction billing, pay applications, lien law documentation, and subcontractor compliance tracking.
- Bilingual (English and Spanish) preferred.
- Excellent verbal and written communication skills.
Pay: $18.00 - $23.00 per hour
