About the Role
We are seeking a FUN, detail-oriented, Rockstar! This is a Construction Administrator / Controller position that plays a critical role in supporting our construction TEAM and projects. The controller manages the permitting and inspections process as well as, financial transactions, tracking project costs, preparing bids, and handling accounts payable and receivables. The ideal candidate thrives in a fast-paced environment and has strong organizational and communication skills.
Required Qualifications

- Experience with Quick Books: Data entry, reconciliations, job costing reports.
Key Responsibilities
- Manage accounts payable and accounts receivable for multiple construction projects
- Prepare, review, and submit proposal packages and bid documents for new projects
- Track and monitor project costs daily/weekly, including labor, materials, subcontractors, and equipment
- Reconcile monthly credit card statements and ensure all charges are properly allocated to projects
- Code and enter invoices, ensuring proper job costing and approval workflows
- Prepare client invoices and maintain accurate aging reports
- Assist with subcontractor onboarding, insurance compliance, and lien waiver tracking
- Manage the permitting process, including preparing, submitting, and tracking building permits and other regulatory approvals with local municipalities and agencies.
- Handle general administrative duties as needed to support the construction team and maintain the office and work flow.
Preferred Qualifications
- 2+ years of experience in construction administration, project accounting, or similar role
- Strong understanding of construction accounting principles (job costing, progress billing, etc.)
- Experience with bid preparation and subcontractor bid solicitation
- Proficiency in managing accounts payable/receivable and credit card reconciliation
- Excellent attention to detail, organization and communication skills
- Proficient in Microsoft Excel, Word, and Outlook (advanced Excel and web based software skills preferred)
- Experience with web based construction management software (e.g., Procore, Buildertrend, Ressio, or similar) is a plus
- Ability to multitask and prioritize in a deadline-driven environment
- Strong written and verbal communication skills.
