As our company continues to expand, we are seeking a highly organized and proactive professional to serve as the Assistant to the Vice President of Operations. Position Summary
The Assistant to the Vice President of Operations serves as the operational right hand to the VP of Operations. This role is responsible for tracking field activity, subcontractor performance, fleet and driver accountability, safety compliance, equipment utilization, and certified payroll deadlines.
The position ensures that the VP of Operations receives accurate, timely information and that key operational items are monitored and followed through to completion. This role allows the VP to focus on strategic decision-making while the Assistant manages the administrative and accountability aspects of day-to-day operations.
Key Responsibilities
Executive & Administrative Support
- Manage the VP of Operations’ calendar, meetings, site visits, and follow-up items
- Prepare daily and weekly briefing reports
- Draft professional correspondence, reports, and presentations
- Maintain organized digital and physical filing systems
Operations Tracking & Reporting
- Monitor daily field activities by crew and subcontractor
- Track subcontractor attendance, mobilization, and performance
- Identify discrepancies between reports, inspections, and actual progress
- Prepare weekly and monthly operations dashboards
Fleet & Equipment Accountability
- Run GPS and telematics reports
- Monitor vehicle idle time and driver performance
- Review camera footage related to flagged events
- Track equipment assignments and utilization
Safety Compliance Support
- Monitor submission of safety meeting logs, incident reports, and inspections
- Follow up on missing documentation
- Maintain organized compliance records
Certified Payroll Tracking
- Track certified payroll deadlines for prevailing wage projects
- Confirm timely submissions by responsible parties
- Escalate missed deadlines to the VP of Operations
Materials & Operational Follow-Up
- Track unresolved field material needs
- Follow up with Project Managers, Superintendents, and Dispatch
- Escalate stalled issues impacting field productivity
Qualifications
Education
- Associate’s or Bachelor’s degree in Business, Construction Management, Operations, or related field preferred
- Equivalent experience will be considered
- Valid driver’s license required
Experience
- Minimum of 3 years in executive support, administrative coordination, or operations support
- Construction or field services industry experience strongly preferred
- Experience with fleet tracking, telematics, or project management systems is a plus
- Familiarity with certified payroll and prevailing wage compliance preferred
Skills
- Advanced proficiency in Microsoft Outlook, Excel, Word, and PowerPoint
- Strong analytical and organizational abilities
- Excellent written and verbal communication skills
- High attention to detail and follow-through
- Ability to handle confidential information with discretion
- Bilingual English/Spanish preferred but not required

Work Environment
This is primarily an office-based role with occasional visits to project sites. Some early morning availability may be required to align with field start times and dispatch coordination.
Pay: From $22.00 per hour
