Overview
The Construction Back-Office Assistant provides dedicated back-office administrative and operational support within a fast-paced general contracting environment. This role is essential in maintaining organized documentation, supporting project and office operations, assisting HR and payroll coordination, and ensuring smooth communication between office staff, field teams, subcontractors, vendors, and leadership.This position is best suited for someone who is highly organized, detail-oriented, and comfortable working with construction-related documentation, deadlines, and multi-department coordination. The role plays a key part in keeping administrative, financial, and operational processes accurate, compliant, and efficient.
Key Responsibilities
Office & Administrative Support
- Support Office Manager with daily administrative operations
- Maintain organized digital and physical filing systems
- Manage office supplies, vendor coordination, and general inquiries
- Assist with scheduling, calendars, meetings, and coordination
- Prepare reports, spreadsheets, correspondence, and internal documents
- Track tasks and support workflow efficiency across the office
Construction Operations Coordination Support
- Assist in coordinating communication between office, field teams, subcontractors, and vendors
- Support project documentation (job files, permits, submittals, change orders, and related records)
- Track operational tasks, project updates, and pending deliverables
- Follow up on outstanding items from field and subcontractor teams
- Assist in maintaining structured project administrative records
- HR & Onboarding Support
- Assist with onboarding coordination for new hires
- Collect, organize, and maintain employee documentation
- Maintain confidential HR records and employee files
- Support attendance tracking and HR administrative tasks
- Assist with onboarding checklists and employee setup processes
- Payroll & PEO Support
HR & Onboarding Support
- Assist with payroll preparation, timesheets, and employee data tracking
- Coordinate with PEO for payroll, benefits, and onboarding processes
- Follow up on missing payroll documents or requirements
- Support benefits enrollment and employee record updates
- Maintain organized payroll documentation and records
Bookkeeping & Financial Administrative Support
- Assist with invoice processing, receipts, and expense tracking
- Support accounts payable and receivable documentation
- Perform data entry in accounting systems (e.g., QuickBooks)
- Reconcile vendor records, expenses, and financial documents
- Track subcontractor invoices and payment follow-ups
- Organize accounting files and financial records
Compliance & Documentation
- Maintain compliance-related records and documentation (including I-9 forms)
- Ensure proper document retention and filing systems
- Support company policy compliance and administrative procedures
- Maintain confidentiality of HR, payroll, and financial records
Executive & Office Support
- Provide administrative support to Office Manager and leadership
- Assist with reporting, data entry, and internal tracking
- Support special projects and operational initiatives
- Help improve administrative processes and workflow efficiency
- Perform additional tasks as needed to support operations
Qualifications
Required
- Experience in administrative, office assistant, bookkeeping, or coordination roles
- Knowledge with QuickBooks online
- Experience in construction or general contracting environment
- Strong organizational and multitasking skills
- High attention to detail and confidentiality
- Proficiency in Microsoft Office and Google Workspace
- Ability to work independently and manage priorities effectively
- Professional and dependable work ethic
Preferred
- Familiarity with HR, payroll, or PEO systems
- Exposure to project management or scheduling tools
- Experience supporting operational or field service teams
Compensation
- Hourly Rate: $15 – $22 per hour
- Paid Schedule: Bi-Weekly
- Overtime (if applicable): In accordance with federal and applicable state laws
